Job description

This Opportunity

WSP USA is currently seeking a Lease Administrator (Coordinator, Real Estate Management) to support our Real Estate Management team. 

Your Impact

Lease Abstraction/Administration

  • Reviews lease agreements and abstracts key information including but not limited to lease provisions, clauses, options and critical dates, property information (i.e. rentable area), business, legal and financial agreements and obligations, terms and conditions.
  • Enters and maintains lease agreement information within lease management database.
  • Responsible for data integrity of lease information
  • Maintains and updates lease activities (new leases, renewal/extensions, terminations, etc.) in global lease database 
  • Maintains records of all lease agreements, including copies of all fully executed agreements and correspondence with landlords
  • Set up and maintain suppliers/vendors and coordinate required forms in compliance with WSP policies for payment(s)
  • Prepare and draft notices to landlord in accordance with the lease for critical lease options
  • Reviews and monitors critical lease dates
  • Reviews lease documents, including Leases, Amendments, Estoppels, SNDAs, etc. to ensure accuracy
  • Supports regional directors with requested lease information (costs, dates, etc.) upon request, as well as lease abstract
  • Updating Landlord and Management Company contacts
  • Coordinating maintenance needs with landlords on behalf of client
  • Coordinating move-in and move-out requirements in accordance with the lease with team
  • Coordinate Certificates of Insurance and updated COIs as needed 
  • Report writing and distribution as required 
     

Rent Payment Processing

  • Review monthly rent invoices for accuracy and work with landlords and Accounts Payable team to remedy any variances
  • Generate monthly reports to process rent payments and ad hoc payments on behalf of the client
  • Prepare monthly rent roll reports, make adjustments to rent information and pay retroactive payments to reflect changes in factors including but not limited to operating costs, base rent
     

Rent Collection and Billing

  • Manage subtenant/income payments and delinquency
  • Provide year-end reconciliations to subtenants for true-up payment
Who You Are

Required Qualifications

  • High School Diploma
  • Minimum 3 years of commercial lease abstraction or property administration work experience
  • Knowledge and experience with commercial real estate lease agreements
  • Ability to interpret and abstract lease information
  • Ability to process volumes of data requiring strong attention to detail and accuracy
  • Computer proficiency and ability to learn new management information systems quickly
  • Strong organization, communication, time management, and problem-solving skills
  • Strong attention to detail

Compensation:
Expected Salary (all locations): $43,900.00 - $63,580.00
WSP USA is providing the compensation range that the company in good faith believes it might pay and offer for this position, based on the successful applicant's education, experience, knowledge, skills, abilities in addition to internal equity and specific geographic location.
