Partnership Description:

The CUNY SPS Office of Innovative Learning Solutions (ILS) seeks an experienced detail-oriented learning and development professional to join our training team in the role of Learning Management System (LMS) Administrator. This role will be an integral part of the Energy Training team that manages the design, development, delivery and administration of relevant learning programs on behalf of the Department of Citywide Administrative Servicesโ€™ (DCAS) Division of Energy Management. This program prepares City facilities personnel to make energy-smart decisions that assist the City of New York in meeting its greenhouse gas (GHG) emissions reduction goals. The program is designed to help facility professionals across City agencies envision a learning path specifically targeted to their professional and personnel development goals.

Position Description:

The LMS Administrator has an integral role in managing the day-to-day front-end administration of the Blackboard Learning Management System (LMS) and Genius Student Information System (SIS). This includes maintaining course templates and sections, maintenance of eLearning files, and deploying courses through the LMS. This also includes managing learner data in the SIS and providing technical support to training program participants for programmatic registration and record keeping. The LMS Administrator will collaborate with the teamโ€™s Program Coordinator to develop processes and share information about program participant use of the system. The LMS Administrator will also provide support to the Senior Program Manager, Training Operations and the Senior Program Manager, Program Effectiveness to ensure operational effectiveness of the LMS and SIS throughout the training cycle.

Duties and Responsibilities:
  • Generate a digital course catalog based on the training calendar created by the Program Coordinator.
  • Manage the Learning Management System, ensuring data integrity, providing technical support, and facilitating the seamless delivery of online learning events to ensure compliance with ANSI/IACET standards.
  • Provide technical support and guidance for the weekly registration report for the program sponsor, and support the management of course approvals and holds.
  • Manage student registration processes via the Student Information System (SIS), including the registration page, automatic emails, and unique course enrollments.
  • Maintain system records in the SIS, including: Course certificates, Learning path functionality, Templates for automatic emails, and Regular report generation.
  • Post and maintain course content in the LMS, including: Course syllabi, Course requirements, Student handouts and instructor materials, e-Learning SCORM packages, Gradebooks and grading schema, and Course evaluations.
  • Partner with the Learning and Development Program Managers to scope the content that should be posted for each course.
  • Support learners with technical needs by maintaining internally and externally-facing FAQs and templates, and occasional direct support with excellent customer service.
  • Keep track of learner course completions and provide communication about course requirements to students.
  • Make recommendations for process improvements and enhancements to improve the learner experience.
  • Maintaining SCORM packages that support self-directed training via the LMS.
  • Assisting in the development of new program ideas to support energy training program alumni.
  • Supporting special projects and/or initiatives.
  • Other duties as assigned.
Qualifications:

Minimum qualifications for the position.

  • Bachelorโ€™s degree in Instructional Technology, Instructional Design, Organizational Development, or related preferred, OR High School diploma (or equivalent), plus at least three years direct experience managing a Learning Management System software platform.
  • At least three (3) years of full-time experience related to program administration support, preferably in higher education or professional learning and development environment.
  • At least one (1) year of working with a Learning Management System (LMS) or Student Information System (SIS) to generate and leverage user data for program marketing and improvement.
  • Experience with the assessment, design, development, and implementation of digital learning and development solutions.
  • Demonstrated experience using learning administration, data management or other reporting systems.
  • Proven administrative abilities that include: Organizational skills, attention to detail, and ability to follow established processes.
  • Ability to work independently and collaboratively in a fast-paced, demanding, and complex work environment; that involves complex assignments, managing multiple tasks, and rapidly adapting to changing situations and priorities.
  • Proven track record of providing excellent customer service to all constituents.
  • Working with a program sponsor to provide high-quality products, including marketing materials.
  • Experience working with adult learners preferred.
  • Experience with Blackboard and/or Genius preferred.
  • Experience with Articulate 360 preferred.
  • Proven ability to build and maintain supportive relationships with stakeholders, instructors and/or students.
  • Strong written and oral communication skills.
  • Intermediate to advanced technology proficiency in Microsoft Office and other data management tools.
  • Knowledge of government operations and/or energy management initiatives programs preferred.
