Job description

SMX is seeking an Executive Assistant to provide executive, administrative and operations support to the STARE Project Office's Passive Instrumentation Radars and International Programs Offices. This position will be onsite at Redstone Arsenal, Huntsville, Alabama.
The candidate must be detail-oriented, highly-organized, and self-starting with a broad skill set to support various clerical and administrative tasks. The Executive Assistant will be expected to manage multiple tasks with competing priority levels and should have excellent interpersonal skills, time management skills, and flexibility in their work environment in order to manage meeting minutes, produce reports, maintain file management, manage schedules/calendars, conduct meeting coordination, track and manage taskers, review the Automated Time and Attendance Production System (ATAAPS), and create travel arrangements and reconcile vouchers in the Defense Travel System.
The ideal candidate will be familiar with managing correspondence in accordance with AR 25-50, handling classified documentation, maintaining records management files, and building and reviewing briefing charts, memoranda and correspondence, and spreadsheets.
Essential Duties & Responsibilities
  • Calendar coordination and deconfliction; Schedule and coordinate meetings and conference rooms
  • Plan travel for US Government (USG) personnel internationally and domestically
  • Make and receive phone calls on behalf of USG executives
  • Perform inter- and intra-office coordination
  • Maintain Outlook calendars
  • Perform file and document management
  • Monitor/track Action Items
  • Prepare and manage official USG correspondence
  • Properly handle/store/manage classified material
  • Record meeting minutes and produce reports; Create/edit briefing charts
  • Perform all other duties as assigned

Required Skills & Experience
  • Clearance Required: Secret
  • BA/BS degree with up to 5 years of experience
    • Allowable substitutions: Associate's degrees or high school diploma are acceptable with additional experience
  • Strong capacity to learn business software applications, such as DTS
  • Exceptional writing skills and the ability to follow formatting style guides, such as AR 25-50 and internal writing templates
  • Ability to serve in a hierarchical organization and follow orders, directives, and policies
  • Demonstrated initiative in learning new skills, tackling problems, and accepting new challenges

Desired Skills & Experience
  • Experience managing multiple executive and operational calendars
  • Familiarity with AR 25-50, Managing Army Correspondence
  • Expertise with MS Word, Outlook, PowerPoint, and Excel
  • Exceptional oral and written communications
