Administrative Assistant

Location: Dallas, TX Pay Rate: $29/hour Contract Duration: 12 Months

Job Summary: Seeking a highly organized and professional Administrative Assistant to provide proactive executive support. This role supports senior leaders and teams by managing complex calendars, coordinating meetings and travel, processing expenses, and handling confidential business information in a fast-paced, global environment.

Key Responsibilities:

  • Provide administrative and operational support to executives and business teams, including documentation, records management, invoices, time entry, and special projects.
  • Manage complex calendars across multiple time zones, coordinate meetings, and prioritize competing scheduling demands.
  • Serve as a key point of contact for internal and external communications, including phone calls, meeting coordination, and executive interactions.
  • Organize onsite and external meetings, including conference rooms, catering, guest registration, and meeting materials.
  • Coordinate domestic and international travel arrangements, including flights, accommodations, transportation, and visas.
  • Prepare expense reports and process invoices using approved financial systems.
  • Handle confidential client and business information with discretion and professionalism while ensuring compliance with firm policies.

Required Qualifications:

  • Experience supporting executives, senior leaders, or professional teams in a fast-paced corporate environment (financial services experience preferred).
  • Excellent organizational skills with strong attention to detail and ability to manage multiple priorities.
  • Strong written and verbal communication skills with a professional and collaborative approach.
  • Ability to anticipate needs, solve problems, and work independently with minimal supervision.
  • High level of professionalism, integrity, and discretion when handling sensitive information.
  • Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Zoom.
  • Experience with expense management systems such as SAP Concur preferred.
