Job description

Role Summary

The Marketing Operations Coordinator owns the operational backbone of the Marketing department — coordinating cross-functional projects, managing digital product quality assurance from purchase throughdelivery, overseeing client access and activation, and supporting live events and launches. This role progressesfrom executing established workflows to independently owning core operational areas, identifying inefficiencies, and driving process improvements across the department's systems and documentation. It suitssomeone highly organized, technically comfortable across multiple platforms, and motivated by building andimproving operational systems rather than only maintaining them.

Key Responsibilities

Marketing Project Coordination

  • Manage assigned marketing projects end-to-end using the department's project management system, from intake through completion
  • Coordinate cross-functional dependencies across Graphics, Copy, Video, Web, CRM, and Platform teams
  • Monitor project timelines, statuses, and deadlines; proactively communicate delays or blockers
  • Maintain accurate task ownership, documentation, and post-project archiving

Digital Product QA & Launch Readiness

  • Own the digital product QA lifecycle for launches, webinars, and live events — from test planning through launch approval
  • Execute end-to-end customer journey testing (purchase → access → delivery) across landing pages, checkout flows, emails, automations, and portals
  • Document defects with clear reproduction steps and verify corrections before launch
  • Provide documented QA sign-off prior to go-live and monitor post-launch performance
  • Continuously improve QA checklists, templates, and testing procedures based on recurring issues

Client Access & Activation Management

  • Manage customer access and product activation requests across CRM, payment, and product-delivery platforms
  • Validate purchases, activation requirements, and successful product delivery
  • Monitor request turnaround against service-level targets and escalate exceptions to Finance or Client Relations as needed
  • Identify recurring access issues and recommend workflow improvements

Event Operations

  • Maintain the master event and offer tracking sheet across all live events and webinars
  • Complete pre-event operational checklists, verifying offers, assets, links, and tracking
  • Support launch-day readiness and post-event operational review

Team Onboarding & Offboarding

  • Prepare and provision system access for new Marketing team members prior to start date
  • Execute onboarding workflows and maintain related documentation
  • Remove system access and update records during employee offboarding
  • Support the hiring process, including candidate coordination and interview scheduling

Documentation & Process Improvement

  • Own and maintain Standard Operating Procedures (SOPs) for assigned operational areas
  • Identify inefficient or outdated processes and recommend or implement improvements
  • Lead or contribute to automation initiatives within the department's core systems
  • Maintain workflow diagrams and ensure documentation reflects current practice

Meeting, Calendar & Administrative Support

  • Document meetings and distribute notes and action items when necessary
  • Manage and reconcile leadership's calendar
  • Process weekly timesheets and maintain department attendance records
  • Maintain the employee advocacy program and update recurring marketing trackers (e.g., email banners, org chart)

Qualifications

  • 3+ years of experience in marketing operations, project coordination, or a related operational role
  • Experience with project management platforms (e.g., Monday.com, Asana) and CRM/e-commerce systems (e.g., HubSpot, Kajabi, Shopify, Stripe) preferred
  • Working knowledge of automation tools and workflows, with the ability to identify and implement optimizations
  • Demonstrated experience with QA or testing processes, ideally for digital funnels, campaigns, or product launches
  • Strong cross-functional communication skills; comfortable coordinating across multiple teams and stakeholders
  • Highly organized with the ability to manage competing priorities across daily, weekly, and project-based work
  • Process-improvement mindset with the ability to identify inefficiencies and propose solutions
