Job description

Senior Executive Assistant

Goldbelt Glacier is accelerating healthcare delivery and providing superior force health readiness across the military, federal, and civilian landscapes. Goldbelt Glacier is committed to providing transformative and comprehensive health operational capabilities to support customers across scientific, clinical, technological, and program management areas.

The Senior Executive Assistant provides high-level administrative, operational, and project coordination support to leadership within the Bureau of Trust Funds Administration's Office of Trust Records (OTR). This position supports mission-critical activities related to Indian Trust Records management, including coordination of digitization operations, logistics support, workflow tracking, reporting, and executive-level administrative services for the American Indian Records Repository (AIRR) and the Digital Center of Excellence (DCE). The incumbent ensures smooth execution of day-to-day operations and assists with special projects that uphold federal records management requirements, trust responsibilities, and BTFA program objectives.

Responsibilities

Essential Job Functions:

  • Provide high-level administrative support including calendar management, meeting coordination, briefing preparation, and executive correspondence.
  • Draft, edit, and maintain reports, documentation, spreadsheets, and presentations for leadership.
  • Coordinate daily operations and project activities related to Digitization Support Services, including workflow tracking and status reporting.
  • Serve as an administrative liaison between OTR leadership, DCE supervisors, AIRR staff, and contractor project managers.
  • Support execution of SOPs and administrative processes for document preparation, reassembly, digitization, and quality control operations.
  • Monitor workload demands, prepare supporting documentation, and help leadership balance priorities across day-to-day and special project needs.
  • Assist with clerical tasks such as file handling, inventory tracking, making copies, and preparing materials for digitization workflows.
  • Coordinate logistics at AIRR including equipment needs, supply management, and space organization.
  • Perform other duties as needed.
Qualifications

Necessary Skills and Knowledge:

  • Strong communication skills with the ability to prepare reports, briefings, and executive correspondence.
  • Ability to work collaboratively with federal employees, contractors, and leadership teams.
  • Proficiency with Microsoft Office applications, workflow management tools, and data entry systems.
  • Ability to manage sensitive information with discretion and maintain confidentiality.

Minimum Qualifications:

  • Bachelor's degree in Business Administration or related field.
  • At least 5+ years of experience as an Executive Assistant or Administrative Assistant in a fast-paced environment.
  • Demonstrated experience providing high-level administrative or executive support in a complex operational environment.
  • Experience coordinating projects, tracking workflow metrics, and supporting multi-layered technical or operational programs.
  • Ability to pass a federal background check.
