The Role

We're hiring a Purchasing, Logistics & Quality Coordinator to keep our office, labs, and shipments running smoothly. You'll own day-to-day purchasing, shipping/receiving, inventory accuracy, vendor coordination, and key quality assurance processes so our engineering and operations teams can move fast. This is a great role for a detail-oriented self-starter who enjoys organizing, communicating with customers, suppliers and carriers, and improving processes. What you'll do

  • Purchasing & vendor coordination: Create/track POs, confirm lead times, follow up on backorders, and negotiate routine buys for parts, consumables, and services.
  • Shipping & receiving: Pack and ship domestic/international orders and RMAs; prepare labels and paperwork; schedule pickups; reconcile BOLs and packing slips; resolve exceptions.
  • Inventory management: Maintain accurate counts (cycle counts, adjustments), kit work orders, track min/max levels, and stage materials for builds.
  • Documentation & systems (Fishbowl): Keep Fishbowl Inventory records current (POs, receipts, serials/lot codes); maintain shipping, receiving, and inventory SOPs.
  • Quality assurance: Drive key QA processes including incoming inspection of parts and materials, non-conformance documentation, supplier quality monitoring, and corrective/preventive action (CAPA) follow-up. Maintain controlled documents (SOPs, work instructions, quality records), support calibration and equipment tracking, and assist with internal and external audits as part of the company's quality management system.
  • Logistics support: Coordinate with carriers; compare rates/transit times; monitor shipments to ensure on-time delivery.
  • Office operations support: Order supplies; help with facility vendors; pitch in on general office tasks as needed (hands-on role in a small, collaborative team).
  • Accounts Receivables follow up and management.

What you'll bring

  • Education: Bachelor's degree (4-year) preferred.
  • Experience: 5+ years in purchasing, logistics, supply chain, and/or shipping/receiving (internships/co-ops count).
  • Tools & skills: Proficiency with Microsoft Office 365 suite; strong attention to detail; clear written & verbal communication; self-starter with ability to prioritize and meet deadlines.
  • Quality mindset: Comfort working with SOPs, quality records, and structured processes; willingness to flag non-conformances and drive issues to resolution.
  • Physical: Able to lift 30-40 lbs occasionally and stand for periods while packing/receiving.

Desired

  • Proficiency with Fishbowl Inventory Management System.
  • Experience with UPS/FedEx/DHL portals/rate shopping; international shipping knowledge (customs clearance, working with brokers, commercial invoices, harmonized codes, Incoterms).
  • Familiarity with purchasing best practices (supplier quotes, terms, price breaks) and cycle counting/5S.
  • Exposure to hardware/electro-mechanical parts or lab equipment.
  • Experience with a Quality Management System (ISO 9001 or similar) and familiarity with controlled-document practices, non-conformance/CAPA workflows, or incoming inspection of hardware/electro-mechanical components.
