Lab Administrative Assistant

If you're a Laboratory Technologist looking for a new opportunity to work in a fast-paced, professional environment where your talent contributes to changing people's lives, then we want to talk to you. This position requires collaborating with physicians, other medical providers, and patients by providing nurse case management services for fertility treatments.

We have an immediate opening for a Full Time Lab Administrative Assistant to join our team in our Bethesda, MD office.

How You'll Contribute:

We always do whatever it takes, even if it isn't specifically our "job." In general, the Lab Administrative Assistant is responsible for:

  • Provides completes and accurate entry of ART data for SART reporting. Strives to maintain data current at all times. Assists in quality control auditing of SART data as necessary.
  • Manages the cryo inventory log and maintains current records. Works cooperatively with the cryonventory coordinator in the Financial Department to ensure the accuracy of patient records and appropriate billing.
  • Verifies the accuracy of completion of Embryo Disposition Forms and mails the forms to patients in a timely manner.
  • Supports the management staff by completing typing, editing, copying, mailing and filing as requested.
  • May type and design general correspondence, memos, charts, tables, graphs, business plans, etc.
  • Maintains communication with the other departments within the Practice and also outside the practice as needed. Interacts with all staff at all levels of the organization.
  • Prepares regular and ad hoc project reports requiring knowledge of Word, Excel and PowerPoint.
  • Prepares new charts as needed and systematically archives and/or purges files in accordance with department procedures.
  • Manages the consent process for the discard or donation of embryos and/or semen and ensures compliance with accepted standards of practice. Readily notifies the financial department of a change in status of cryopreserved specimens.
  • Helps to establish and maintain an organized documents management system for ready access and retrieval of current and archived records and forms. Able to organize various types of records into correct categories.
  • Works with manager or designated department personnel to maintain staff records current.
  • Documentation may include staff time-off, licensing and credentialing, continuing education, performance evaluations, reviews and competency, necessary trainings, and other documentation as may be required.
  • Schedules and organizes complex activities such as meetings, travel, and department activities for the manager. Attends departmental and other meetings as requested and takes meeting minutes as appropriate.
  • Creates and develops visual presentations, charts graphs, etc. using MS PowerPoint or other software.
  • Handles confidential and non-routine information
  • Is reliable. Reports to work on time, as scheduled, on a regular basis ready to work.
  • Performs other related duties as assigned.
