Job Title: Administrative Assistant I
Position #: 00815434 - Requisition #: 39521
Job Summary:
ClinImmune: The Center for Clinical Immunology is currently seeking an Administrative Assistant I. This is a front desk reception position that will monitor front door access and greet visitors as well as provide administrative support to Directors, Office Manager, and staff. This position will adhere to current financial policies and procedures, and independently seek training and guidance on new policies and procedures. This position also requires exercising a high-level of discretion regarding confidential department matters.
Key Responsibilities:
  • Keep patient record file room up to date, and orderly which includes filing, file purging, and scanning of documents for archive.
  • Process office supply and/or education material orders as needed. Monitor and maintain office inventory, reordering when necessary.
  • Provide administrative support for other office personnel and upper management:
    • Maintain the office and lab contact directory including internal contacts and client (hospital and outside lab) contacts.
    • Schedule meetings and take minutes as directed by faculty or administrative leadership.
    • Assist in the planning and coordination of events for the faculty. The functions may include preparing flyers, booking conference rooms, setting up and handling food orders, and serving as the on-site contact for visitors during the duration of their visit. Sends reminder emails. Assists with room set up and clean up.
  • Monitor access of all entrants to the facility per FDA regulation.
  • Retrieve and distribute USPS mail and intercampus mail on site and on campus.

Onsite - this role is expected to work onsite and is located in Aurora, CO.

Qualifications:
Minimum Qualifications:
  • One (1) year of general clerical and/or administrative experience, which includes experience managing calendars using Outlook or other similar applications.
    • Substitution: Appropriate education will substitute for the required experience on a year-for-year basis.

Applicants must meet minimum qualifications at the time of hire.
Preferred Qualifications:
  • Experience providing administrative and technical assistance to faculty and staff within a laboratory environment.
  • Previous experience working in a University setting.
  • Experience utilizing Microsoft Word and Microsoft Excel.

Anticipated Pay Range:
The starting salary range (or hiring range) for this position has been established as $37,944 - $44,016.
The above salary range (or hiring range) represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting. This position may be eligible for overtime compensation, depending on the level.
