Job Description:

The Imaging Registration Coordinator provides total medical office support including registration and HIM functions. Manage the registration of patients within the office and by telephone. Obtains patient insurance and demographic information, collects co-pays, ensures precertification authorizations are received as required by insurance. Monitor and distribute inbound and outbound documentation whether electronic or paper format. Imaging Registration Coordinator handles these functions for both Tennessee Oncology patients as well as Non-Tennessee Oncology patients.

ESSENTIAL FUNCTIONS:

  • Answers the telephones and greets patients in a courteous, efficient manner.
  • Ensures front area/waiting room is presentable for patients and visitors.
  • Follows policies and procedures outlined by management to ensure standardization of processes across all imaging centers.
  • Routes messages to appropriate discipline
  • Obtains pre-patient registration, demographic and insurance information and enters appropriately into the Radiology Information System (RIS)
  • Collects co-payments at time of service and manages daily cash receipts.
  • Receives and replies to all instant messages related to patients changes of insurance, copay questions, and coverage issues in a timely fashion.
  • Provides patients with oral contrast as indicated by scan type and/or special instructions.
  • Chart preps at least 2 days in advance by reviewing all orders for accuracy of scan type, ordering physician, CPT codes, dx codes, special instructions and proper scan pertaining to special instructions/notations on order.
  • Obtains necessary records prior to patient's appointment.
  • Reviews central precertification team comments for emailing notification to our outside billing company and in-house billing department
  • Designates in the Radiology Information System (RIS), and emails to appropriate persons study billing requirements, (i.e., Q-1 Modifier, KX Modifier)
  • Prepares the Electronic Health Record (EHR) for review by Clinical Staff
  • Ensures any necessary paperwork is provided to and completed by the patient.
  • Monitors and routes inbound and outbound faxes.
  • Opens and distributes mail as required.
  • Electronically scans appropriate patient related records into the Radiology Information System (RIS)
  • Distributes outbound correspondence or copies of records as necessary.
  • Completes process for request for medical records.
  • Communicates to other staff members using Instant Messaging System
  • Responds promptly to patient, physician, manager, and other department requests.
  • Ability to travel/float to other imaging centers for business needs.
  • Maintain and ensure confidentiality of patient information.
  • Adheres to all Tennessee Oncology policies and procedures.
  • Other duties as assigned.

EDUCATION AND EXPERIENCE: (Knowledge, Skills, Abilities)

  • High school graduate or equivalent with GED.
  • 2 years of previous professional office experience and/or customer service experience preferred.
  • Electronic Medical Records experience preferred.
  • Excellent customer service skills
  • Proficient in Microsoft Office Suite
  • Good verbal, listening, and written communication skills.
  • Ability to work productively and effectively in a fast-paced environment.
  • Strong organizational skills and attention to detail
  • Dependable

PHYSICAL REQUIREMENTS:

Able to travel to all imaging centers when necessary
Able to lift 25 pounds.
