Job description

Department Information This position is open to current Colorado residents only. Please note: This recruitment may be used to fill multiple vacancies. Homelake Veterans Community Living Center The Colorado State Veterans Center at Homelake is a State-owned and operated skilled nursing facility and domiciliary dedicated to serving those who have served us.

Description of Job While in this position, you are required to work at your assigned work location during your scheduled work times.

Please note: Work arrangements are subject to change at any time. The Program Assistant will serve as HR Liaison and Payroll/Timekeeping Manager at the VCLC Homelake, including managing the interview process and initiating PAF for hires/terminations/reclassifications. Accounting function of Kronos/Timekeeping.

This position will also provide support to the staff and department managers. In addition, this position provides technical support to the Nursing Home Administrator (NHA) making recommendations to the NHA, on policy and procedures, including internal and external programs and activities; tracks PMP activities and monitors compliance; processing and tracking all requests for personnel actions, FMLA, Employee Benefit systems and Workers' Compensation through timely and consistent application of HR principles, State and Federal regulations and rules, and onsite reporting systems. This position also provides ancillary support to the facilities management team, including special projects.

Additionally, as a Program Assistant, you can expect to: Act as the primary HR Liaison, managing the full employee lifecycle including hiring, credentialing, onboarding, position tracking (PAFs), and maintaining confidential employee records. Oversee leave administration (FMLA, STD, LTD) and serve as the facility's primary contact for Workers' Compensation, managing claims, light-duty assignments, and injury (IOJ) reporting. Serve as the facility timekeeping manager utilizing Kronos/UKG to audit entries, manage leave/overtime, resolve reporting issues, and ensure accurate biweekly and monthly payroll processing.

Act as the work lead for administrative and accounting support staff, providing ongoing coaching, performance management, training coordination, and day-to-day operational guidance. Design, implement, and optimize core administrative processes, updating facility Policy, Procedure, and SOP manuals to ensure state and departmental compliance. Oversee facility technology needs and maintain a comprehensive tracking and renewal system for computer equipment, cell phones, and OIT assets based on budget and usage data.

Manage travel administration and purchasing, including coordinating complex travel logistics, reconciling P-Cards, processing invoices, and ensuring expenditures meet state and federal fiscal rules. Partner with leadership to track the personnel budget, maintain FTE and turnover data, and compile necessary financial, staffing (VA/State), and quarterly QAPI monitoring reports. Direct site-wide meeting logistics, including preparing agendas, recording minutes, managing video conferencing, and running the daily stand-up meeting.

Represent the facility at local job fairs to generate applicant interest, and assist department managers with drafting and revising Position Descriptions. Provide high-level administrative support to the Nursing Home Administrator and Business Office Manager, handling internal communications, calendar coordination, and complex special projects. Serve as the Lead Safety Coordinator reporting near-misses and claims, and manage the Homelake Market inventory, stocking, and monthly budget reporting.

Facilitate new employee orientation, ensure completion of mandatory staff training (Relias/Cornerstone), and cross-train to provide backup for administrative support roles as needed.
