This posting is only for current Southern New England ENT employees. Positions will be offered in New Haven, Middletown, Cheshire, and Guilford.

Summary
The Administrative Coordinator is accountable for coordinating general office duties and assisting with day-to-day front office operations of the practice. This includes overseeing the administrative duties of the reception area and ensuring that all policies and procedures are being followed by the reception team on a daily basis.
Responsibilities
Under general supervision or direction:
Lead Duties
  • Train new front desk staff
  • Update and train all existing front desk staff as new policies and procedures present
  • Stay up to date on all applicable clerical EPIC changes and communicate such to front desk staff
  • Make weekly front desk work assignments by location and by task
  • Assign front desk staff to work the Epic referral and registration correction work queues and monitor work queue status
  • Provide oversight of reception waiting room area
  • Serve as the resource to other Receptionists at the practice for immediate patient scheduling questions/issues
  • Troubleshoot all front desk computer issues, and serves as point person to assist with any Helpdesk requests for front desk matters
  • Order front desk supplies
  • Verify accuracy of, and code incoming practice invoices as needed
  • Verify, balance, and log daily bank deposits
  • Provide backup to Practice Manager for Kronos/Dimensions
  • Provide backup to Practice Manager for management of physician on-call schedule changes
  • Provide backup to Practice Manager for provider Epic scheduling changes
Receptionist Duties
  • Greets patients and responds to inquiries providing appropriate customer service
  • Assists patient with practice/office-specific registration processes, to include kiosk/computer registration process if needed
  • Enters patient demographic and/or insurance information into appropriate electronic medical record (EMR) system for tracking, billing or other purposes
  • Schedules/reschedules patient appointments based on department/practice policy or guidelines
  • Collects and posts patient payments as required
  • Answers phones and responds to patient inquiries appropriately; addresses patients needs based on the scope of the position and clinical setting. Appropriately triages calls, referring to providers as necessary.
  • Responds to inquiries from patient message inbox in timely manner
  • Completes appropriate work items utilizing EMR system, to include patient follow-ups, pre-registrations, referrals, insurance authorizations, and other matters as needed
  • Scans patient records into appropriate EMR system
  • Processes faxes, incoming mail, and paperwork as required
  • Completes daily office close and reconciliation as needed
  • Understands and utilizes EMR system consistent with role, abides by all federal laws and organizational privacy policies
  • Performs administrative and other duties consistent with position and needs of office
Minimum Qualifications
  • High School Graduate; basic math skills
  • Previous physician practice front office experience
  • Excellent communication and organizational skills
  • Customer service focused
  • Ability to direct, mentor and lead others
  • Fully trained, efficient and content expert in all reception duties and front desk policies and procedures.
