The Operations Manager oversees the daily operations of company offices, ensuring efficient workflows and high-quality support for real estate professionals. This role ensures operational effectiveness, compliance with organizational and regulatory requirements, strong agent support, and consistent implementation of company policies, systems, and initiatives. The Operations Manager drives productivity, supports business growth, and fosters a professional culture aligned with organizational standards.
Job Duties and Responsibilities (Essential Job Functions)

Office Operations (20-30%)
• Direct day-to-day office operations to maintain a professional and productive environment
• Implement and uphold company policies, procedures, and initiatives
• Manage administrative workflows, office coverage, and operational priorities
• Ensure effective utilization of office systems and tools
Agent Support & Development (20-30%)
• Serve as the primary operational resource for 100+ agents
• Support agent onboarding and integration into company systems
• Provide guidance on transaction processes, office procedures, and operational best practices
• Lead and facilitate coaching sessions for new agents to promote productivity and adherence to
company standards
Transaction & Compliance Oversight (10-20%)
• Oversee transaction processing workflows and file compliance
• Monitor documentation standards to ensure alignment with company and regulatory requirements
• Support timely submission of required materials and promote accountability
Administrative Leadership (10-20%)
• Supervise and coach administrative staff as applicable
• Provide training and guidance on systems, procedures and service expectations
• Maintain consistency and operational excellence across administrative functions
Communication & Coordination (10%)
• Act as liaison between agents, leadership, and corporate departments
• Communicate operational updates and initiatives effectively
• Coordinate office meetings, training, and events
Technology & Systems (10%)
• Support adoption and effective use of company technology platforms
• Identify workflow inefficiencies and collaborate with corporate support teams as needed
Agent Account & Fee Oversight (5%)
• Monitor and track required company, REALTOR® association, and MLS fee payments
• Communicate proactively regarding outstanding balances
• Maintain accurate records to ensure compliance with company and association requirements
Performance Expectations
• Meet all performance and behavior expectations outlined in the company performance appraisal form or communicated by management.
• Perform responsibilities as directed achieving desired results within expected time frames and with a high degree of quality and professionalism.
• Establish and maintain positive and productive work relationships with all staff, customers and business partners.
• Demonstrate the behavioral and technical competencies necessary to effectively complete job responsibilities. Take personal initiative for technical and professional development.
• Follow the company HR Policy, the Code of Business Conduct and all subsidiary and department policies and procedures, including protecting confidential company information, attending work punctually and regularly, and following good safety practices in all activities.
Qualifications
Education:
• Bachelor's degree in business, economics, or related field with advanced professional
management training; or equivalent work experience and knowledge.
Experience:
• Three plus years of real estate experience with two plus years of demonstrated managerial and supervisory experience.
Knowledge and Skills:
• Working knowledge of real estate regulatory standards, rules and guidelines.
• Knowledge of legal obligations of Realtors under state and federal laws, Department of Commerce Rules and Regulations, Department of Housing and Urban Development, and the National Association of Realtors Code of Ethics.
• Excellent oral and written communication skills, including presentation skills.
• Excellent interpersonal skills and leadership abilities; sound human-relational skills involved in recruiting, training, and managing performance of people; conflict/change management skills.
• Effective analytical, problem-solving, and decision-making skills.
• Project management skills; ability to prioritize and handle multiple issues and projects concurrently. Strong organizational skills with a high degree of quality and detail orientation.
• Ability to work independently and under extreme deadline pressure; resourceful and action oriented.
