ABOUT HOMEDESIGN INC.

HomeDesign Inc. is a growing kitchen and bathroom remodeling company serving Northern Virginia. We provide kitchen design, cabinetry, countertops, and complete remodeling services.

We are seeking a dependable, organized, and customer-focused Office Administrator & Kitchen Design Assistant. This hybrid position combines office administration, customer coordination, showroom support, and kitchen-design assistance.

ROLE ALLOCATION

The normal workload is expected to be approximately:

• 60% office administration and coordination
• 40% kitchen design and sales support

The allocation may change depending on office workload, customer appointments, design deadlines, and sales volume.

During busy administrative periods, more time may be assigned to office responsibilities. During periods of increased kitchen-design activity, more time may be assigned to design and sales support.

Administrative responsibilities, customer communication, appointment coordination, and required documentation must remain current.

PRIMARY RESPONSIBILITIES

Office Administration and Coordination

• Answer incoming telephone calls, emails, and customer inquiries
• Enter new leads and customer information into the company CRM
• Schedule and confirm consultations, measurements, and appointments
• Follow up with customers, vendors, designers, and team members
• Maintain organized electronic and paper project files
• Prepare standard proposals, contracts, and customer documents
• Track outstanding customer selections, documents, and approvals
• Update JobTread, Odoo, spreadsheets, and internal tracking systems
• Maintain showroom, office, and product-sample organization
• Assist with general administrative and project-coordination tasks
• Prepare a brief daily update of completed and pending assignments

Kitchen Design and Sales Support

• Welcome and assist showroom customers
• Help customers review cabinet styles, colors, countertops, hardware, and finishes
• Gather room measurements, appliance specifications, and design requirements
• Create or revise basic kitchen layouts using 2020 Design or similar software
• Prepare cabinet quotes and design presentation materials
• Coordinate design appointments and customer selections
• Follow up on unfinished selections and requested design revisions
• Support the lead designer and sales team
• Review cabinet orders for basic completeness before management approval
• Maintain organized design files, customer notes, and product information

REQUIRED QUALIFICATIONS

• Previous office administration, customer service, sales-support, or coordination experience
• Strong verbal and written communication skills
• Excellent organization, accuracy, and follow-through
• Comfortable using email, spreadsheets, CRM systems, and office software
• Ability to manage multiple assignments and deadlines
• Professional and friendly customer-service skills
• Dependable attendance and punctuality
• Ability to work independently and communicate effectively with the team
• Willingness to learn cabinet products, kitchen measurements, and design procedures
• Professional workplace behavior with limited personal phone use during working hours

PREFERRED QUALIFICATIONS

• Kitchen, cabinet, countertop, remodeling, or construction experience
• Experience with 2020 Design, ProKitchen, KABS, or similar design software
• Understanding of basic kitchen measurements and cabinet terminology
• Experience preparing proposals, estimates, quotes, or customer-selection documents
• Familiarity with JobTread, Odoo, QuickBooks, or similar business systems
• Previous showroom, design, or sales-support experience

WHAT SUCCESS LOOKS LIKE

• New leads are entered into the system on the same business day
• Customer calls and messages are acknowledged promptly
• Appointments are confirmed at least one business day in advance
• Administrative assignments are completed accurately and on time
• Design revisions are completed within the assigned timeframe
• Customer and project records remain complete and organized
• Outstanding tasks and customer follow-ups are consistently tracked
• Management receives clear updates regarding completed and pending work
• Customers receive professional, responsive, and helpful service

COMPENSATION

Competitive compensation based on relevant experience, kitchen-design ability, software proficiency, and the level of responsibility the candidate can independently manage.

Compensation and responsibilities will be reviewed after the 90-day introductory period.

SCHEDULE

This is a full-time position during regular office and showroom hours.

The employee will generally work Monday through Friday but may be scheduled to work Saturdays depending on customer appointments, showroom coverage, and business volume. When Saturday work is scheduled, the weekly schedule may be adjusted accordingly.
