Job description

DESCRIPTION: The Treatment Advisor is responsible for managing the admissions process for individuals seeking services at America's Rehab Campus (ARC), including detox, residential, and outpatient levels of care. This role serves as the first point of contact for prospective clients and their families, ensuring professional, compassionate, and efficient admissions experience. The Treatment Advisor conducts pre-screenings, coordinates financial and insurance verification, facilitates referrals, and ensures timely completion of all required documentation to support a smooth transition into treatment.
DUTIES AND RESPONSIBILITIES
Admissions & Pre-Screening
  • Answer inbound calls and respond to admission inquiries from clients, families, and referral sources.
  • Conduct pre-screenings and gather clinical, demographic, and insurance information.
  • Complete and coordinate all required referral and admissions documentation.
  • Communicate program details, expectations, and next steps clearly and professionally.
  • Facilitate client transitions into appropriate levels of care.
  • Make outbound and follow-up calls to prospective clients, families, and referral sources to support engagement and admission conversion.
  • Maintain consistent follow-up communication to ensure timely admission decisions and transitions into care.

Coordination & Collaboration
  • Coordinate admissions logistics with program Directors and clinical teams.
  • Collaborate with billing to support financial screening and insurance verification.
  • Maintain communication with referral sources and outside agencies.
  • Establish and maintain professional relationships with community partners and referral networks.
  • Coordinate and schedule transportation for incoming clients as needed to ensure safe and timely arrival to the facility.

Documentation & Compliance
  • Ensure timely, accurate processing of admissions paperwork and EMR documentation.
  • Track and report referral and admissions metrics as required.
  • Maintain confidentiality and comply with HIPAA and company policies.
  • Follow all facility safety, infection control, and security procedures.
  • Accurately update internal tracking systems and referral logs related to admissions activity.
  • Maintain up-to-date records of referral status, outcomes, and admissions data for reporting and compliance purposes.

QUALIFICATIONS, CERTIFICATIONS, AND EDUCATION REQUIREMENTS:
  • High School Diploma or Equivalent required
  • Minimum two (2) years of experience in admissions, intake or related field preferred
  • KIPU EMR experience preferred
  • Microsoft 365 experience preferred
  • Strong customer service and communication skills (written and verbal)
  • Knowledge of community resources and treatment programming
  • Basic understanding of insurance authorization processes
  • Ability to work independently with minimal supervision
  • CPR/FA Certification - to be obtained within first 30 days
  • Fingerprint Clearance Card - have current card or show proof of applying within 7 days from hire date
  • Handle with Care - to be obtained within first 30 days
  • Successful clearance of pre-employment criminal/county/state background check
  • Successful clearance of pre-employment drug and alcohol testing
  • Successful clearance of TB PPD testing upon hire and annual screening of TB symptoms
  • Attending clinical oversight with BHP once every 2 weeks worked for a minimum of 2 sessions per month.
