Job Title: Household Manager & Family Assistant

Location: Los Altos, CA 94024

Employment Type: Part-time (15-20 hours/week)

Schedule: Monday-Thursday, 1:00 PM - 6:00 PM, with flexibility for occasional Friday coverage

Compensation: $35-$40 per hour, with mileage reimbursement

About Our Family:

We are a busy, tech-savvy family with two daughters (ages 12 and 8), a live-in grandparent, and a playful 10-week-old mini Australian Labradoodle puppy. Both parents work in the tech industry, with a hybrid schedule that includes both in-home and in-office work. We value organization and flexibility in managing our family's schedule, as both parents juggle busy work schedules and regular monthly travel. Our daughters are active and involved in a variety of activities, including soccer, tutoring, piano lessons, and math classes, which keep our family on the go. Despite our busy lives, we are committed to spending more quality time together during our downtime. We want to ensure that we can focus on family moments, whether that's supporting our girls in their activities or enjoying time with our new puppy, without being overwhelmed by the daily household responsibilities. We are a vegetarian household, with a mix of Indian and non-Indian meals prepared at home. We're looking for someone who can seamlessly integrate into our household, helping us maintain a calm and organized home environment while allowing us to enjoy more quality time with each other.

Self-directed and capable of working independently, you proactively identify tasks that need to be done before they are even mentioned. You communicate clearly with all family members and manage logistics effectively, ensuring that schedules, meals, and errands are coordinated seamlessly. You enjoy contributing to the family's well-being by anticipating their needs and maintaining a calm, organized home environment.

Key Responsibilities:

Household Organization & Maintenance

  • Create and maintain household organization systems (closets, storage, pantry, toys)
  • Reset and tidy rooms daily; ensure home is prepped for cleaning services (e.g. surfaces cleared)
  • Oversee household schedules and calendars, integrating with Google Calendar and Skylight
  • Conduct seasonal swaps (clothing, bedding, decor)
  • Prepare and coordinate donation drop-offs and pick-ups, and occasionally reselling larger items (eg, bikes)
  • Supervise or coordinate with service providers (cleaners, landscapers, etc.)
  • Handle light cleaning tasks, including loading/unloading dishwasher, wiping surfaces, vacuuming high-traffic areas, and taking out trash/recycling (support kids doing their chores)

Inventory & Errands

  • Track and restock pantry, fridge, toiletries, and household supplies; ensure cost/space efficiency (e.g., minimize unnecessary duplicates)
  • Create and manage household shopping lists
  • Coordinate household orders (Amazon, Costco, Target)
  • Run errands: grocery shopping, returns, dry cleaning, gift shopping, etc.

Meal Support

  • Assist with prep of healthy meals/snacks for adults and/or kids
  • Shop for groceries and meal-related items
  • Follow dietary needs and family preferences (vegetarian)
  • Clean kitchen post-prep and manage kitchen tidiness

Laundry & Linens

  • Wash, dry, fold, and organize bedding, towels, and kids' laundry, including extensive soccer gear
  • Pre-travel prep and iron shirts, business clothes
  • Manage linens: rotate bedding, refresh towels, restock essentials
  • Keep laundry areas tidy and well-stocked with supplies

Family Support

  • Assist with school/activity pick-ups/drop-offs (shared with parents)
  • Light homework supervision and setting boundaries with kids
  • Support for live-in grandparent: laundry assistance, appointment transportation
  • Oversee kids with prepping backpacks, clothing, or snacks for school
  • Monthly date night coverage

Pet Care

  • Take the puppy on midday walks and evening feedings
  • Schedule vet and grooming appointments
  • Maintain pet supplies and care

Vehicle Management

  • Schedule maintenance, oil changes, and inspections for two cars
  • Ensure vehicles are cleaned and organized
  • Track registration, insurance, and service schedules in the shared calendar

Vendor & Property Oversight

  • Schedule and coordinate service providers (cleaners, landscapers)
  • Maintain a seasonal calendar for routine home maintenance or upkeep across one or multiple properties
  • Serve as primary contact for vendors or guests

Deep Cleaning & Special Projects

  • Tackle occasional deep cleans (fridge, oven, baseboards, etc.)
  • Maintain and refresh specific zones (entryways, garage, mudroom)
  • Organize special projects: toy storage, seasonal decorations, gear rotation, artwork organization

Administrative & Personal Assistant Support

  • Capable of helping with travel planning, scheduling, and logistics in the future
  • Manage family calendars and reminders
  • Assist with the coordination of events, appointments, and guest prep (e.g.,. occasional school spirit days, birthday parties, or other kid/family events)
