Engineering Coordinator

Job Description Summary

The Engineering Coordinator is a critical support role responsible for coordinating and administering fleet operations, engineering programs, financial processes, and employee support functions for a large national engineering organization. This position serves as a key liaison between field engineers, leadership, vendors, finance, procurement, safety, and vehicle management teams to ensure operational excellence, compliance, and exceptional customer service delivery.
The primary focus of this role is managing a nationwide fleet program, ensuring vehicles remain compliant, safe, cost-effective, and operationally ready to support engineering teams. The Engineering Coordinator oversees vehicle lifecycle management, maintenance tracking, licensing and registration compliance, telematics reporting, fuel management, insurance administration, driver performance monitoring, vehicle procurement, and incident coordination.

Job Description

Key Responsibilities

Fleet Management

  • Manage day-to-day fleet operations for a multi-state engineering workforce.
  • Track vehicle registrations, licensing requirements, permits, and compliance documentation.
  • Coordinate preventive maintenance, repairs, recalls, and vehicle replacement planning.
  • Administer vehicle insurance renewals and maintain fleet records.
  • Coordinate vehicle acquisitions, assignments, transfers, and offboarding activities.
  • Analyze fleet performance, mileage, maintenance costs, fuel usage, and operational trends.
  • Partner with Environmental Health & Safety (EH&S), vehicle management teams, and drivers to support incident reporting and corrective actions.
  • Communicate maintenance reminders, compliance deadlines, and vehicle-related action items to engineering teams.
  • Attend fleet governance meetings and maintain compliance with company and regulatory requirements.

Engineering Operations Support

  • Act as a primary support resource for mobile and static engineering teams.
  • Manage shared inboxes and respond to operational requests.
  • Coordinate onboarding and offboarding of engineering personnel, including vehicles, equipment, badges, uniforms, and system access.
  • Support field engineers by resolving operational and administrative issues.
  • Maintain engineering records, trackers, and reporting tools.

Financial & Vendor Administration

  • Manage purchasing card and travel expense processes.
  • Review and audit expenses, receipts, and invoices.
  • Support charge account administration and vendor relationships.
  • Prepare recurring financial and operational reports.
  • Coordinate with accounting, procurement, and finance teams to ensure compliance and timely processing.

Program Coordination

  • Support system administration activities within Corrigo and related work order platforms.
  • Maintain engineering organizational records, reporting structures, and operational documentation.
  • Participate in leadership meetings and support strategic engineering initiatives.

Important Experience

  • Minimum of 2 years of experience in an administrative, accounting, operations support, facilities, fleet management, or tenant services role.
  • Experience with data entry, reporting, record management, scheduling, customer communications, and managing multiple workflows simultaneously.
  • Previous customer service experience with a strong focus on responsiveness, problem solving, and stakeholder support.
  • Prior experience in facilities management, property management, fleet operations, commercial real estate, engineering support, or professional services environments preferred.
  • Working knowledge of fleet management practices, including vehicle compliance, preventive maintenance programs, telematics, driver monitoring, fuel management, registrations, licensing, and fleet reporting.
  • Experience coordinating activities across multiple departments, including operations, finance, procurement, safety, human resources, information technology, and external vendors.
  • Strong organizational, administrative, and project coordination skills with the ability to manage competing priorities and deadlines in a fast-paced environment.
  • Proficiency in Microsoft Office Suite, including Excel, PowerPoint, Outlook, and Word, along with experience using reporting, tracking, and work management systems.
  • Strong written and verbal communication skills with the ability to build effective relationships across all levels of the organization.
  • Experience analyzing data, preparing reports, and maintaining accurate records to support operational decision-making and compliance initiatives.
