Primary Responsibilities
  • Job File Coordination - monitoring job file status, maintain job file work in progress, and ensure client requirements are followed
  • Job File Documentation - review and validate initial field documentation, create preliminary estimate, perform daily job file coordination and perform job file backup
  • Job File Communication and Reporting - complete and review job file documentation for upload and audit process, and perform job close-out
  • Invoice/Payments - bill customers in timely manner, process payments, ensure work in progress and accounts receivables spreadsheets are kept accurate, and maintain filing system for all jobs
  • Office administrative duties such as preparing email and written correspondence
  • Assist other departments, as needed
Position Requirements
  • 2+ year(s) of administrative or office-related experience
  • Experience with billing, preferred
  • Experience in service industry environment, preferred
  • Possess polite, confident, and excellent customer service skills, including listening and questioning skills
  • Excellent organizational skills and strong attention to detail
  • Capability to work in a fast-paced, team-oriented office environment
  • Proficient in Microsoft Office (i.e., Outlook, Word, Excel)
  • Ability to learn new software, including Xactimate® and proprietary software
  • Minimum of HSD/GED
  • Able to successfully complete a background check subject to applicable law
Hours
  • 7:30 am - 4:00 pm Monday through Friday
  • 40 hours/week, flexible to work overtime when required
