Job Description

We are seeking a highly organised and proactive Project Administrator to support the successful delivery of a major Power Plant Construction Project in Morocco. This role will provide essential administrative, commercial and logistical support across the project, helping to ensure that invoicing, procurement, importation, transportation, site support and expatriate arrangements are managed efficiently and professionally.

Working closely with the construction site team, Japanese headquarters, customers, suppliers and third-party service providers, the Project Administrator will play an important role in keeping project activities moving smoothly. This is a varied and hands-on position suited to someone who is detail-focused, responsive, commercially aware and comfortable communicating across different cultures, languages and stakeholder groups.

Role Responsibilities

  • Provide day-to-day administrative and project support through to project completion, ensuring actions, records and documentation are managed accurately and efficiently.
  • Support customer invoicing activities in line with instructions from Japanese headquarters, ensuring documentation is complete, accurate and issued on time.
  • Coordinate procurement activities for construction-related commodities, including sourcing, purchasing, supplier follow-up, order tracking and delivery to site.
  • Monitor and expedite the importation, customs clearance, inland transportation and delivery of construction materials, working closely with logistics providers, customs agents and internal stakeholders.
  • Arrange practical support for foreign expatriates working in Morocco, including transportation, accommodation, daily necessities, and work or residence permit-related administration.
  • Act as a key communication point between Japanese headquarters, expatriates at site, the construction team, customers, suppliers and third-party service providers.
  • Identify and escalate administrative, procurement or logistics issues that may affect smooth project execution, supporting timely resolution and continuity of site activities.
  • Carry out all duties professionally and in compliance with company procedures, project requirements and the employer's code of conduct.
Qualifications

Person Specification

  • Previous experience in administration, project support, procurement, logistics, commercial coordination or a similar role, ideally within construction, infrastructure, energy, power plant or industrial projects.
  • Fluent in English and French, with Arabic and/or Chinese language skills considered advantageous.
  • Practical knowledge of sourcing, purchasing, importation, customs clearance, logistics or transportation coordination would be desirable.
  • Strong organisational skills, with the ability to prioritise competing requests, follow through on actions and meet deadlines in a busy project environment.
  • Excellent communication and stakeholder management skills, with confidence engaging with customers, suppliers, agents, contractors and internal teams.
  • Detail-oriented, methodical and accurate, particularly when handling documentation, invoicing, records, correspondence and follow-up actions.
  • Proficient in Microsoft Office, including Word, Excel and PowerPoint.
  • Professional, self-motivated and reliable, with a strong sense of responsibility, initiative, teamwork and commitment to continuous improvement.
