Job description

Records Technician

Our orthodontic office is seeking a detail-oriented and organized Records Technician to join our team. This role is responsible for gathering and organizing patient diagnostic records, assisting with new patient workflows, and ensuring accurate documentation to support excellent patient care and treatment planning. We're looking for someone who enjoys working with people, thrives in a fast-paced environment, and loves being part of life-changing smile transformations. One of the best parts of this role is getting to see the excitement on a patient's face both the day they begin treatment and the day they finally get their braces off!

Essential Duties & Responsibilities:

  • Capture high-quality orthodontic records including: Digital photos Panoramic and cephalometric radiographs iTero/digital scans Impressions for study models
  • Prepare and organize patient records for doctor review and treatment consultations
  • Ensure all patient information and imaging is accurately entered into practice management software
  • Maintain cleanliness and organization of records areas and equipment
  • Assist with patient flow and seating patients as needed Explain procedures to patients and help create a positive patient experience
  • Monitor and maintain supplies needed for records appointments
  • Follow all OSHA, HIPAA, and infection control protocols Assist clinical and administrative teams as needed to support office operations

Qualifications:

  • Must possess a current Texas Registered Dental Assistant (RDA) certification and be compliant with all state radiology requirements
  • Previous dental or orthodontic experience preferred, but willing to train the right candidate
  • Strong attention to detail and organizational skills Comfortable using computers and digital imaging technology
  • Excellent communication and customer service skills Ability to multitask in a fast-paced environment
  • Positive attitude and team-oriented mindset

Preferred Skills:

  • Familiarity with Dolphin practice management
  • Orthodontic or dental assisting experience

Physical Requirements:

  • Ability to stand and move throughout the day
  • Ability to lift and move equipment or supplies as needed
  • Manual dexterity required for imaging and scanning procedures
