Reports to: Chief Operating Officer (COO) 

Scope: Company-wide IT for Authority HVAC — all employees, offices, and field staff across multiple states 

Position Summary 

The IT & Systems Manager owns Authority HVAC’s technology end to end — the business applications the company runs on, the infrastructure and security that keep it safe and available, day-to-day support for every employee, and the data and reporting leadership relies on. This is a hands-on, solo role: you’re both the strategist who decides where technology should go and the person who does the work to get it there, coordinating outside vendors where it makes sense. You report to the COO and keep the whole company running smoothly and securely. 

Key Responsibilities 

Business Systems & Applications 

  • Own and administer the company’s core business systems (e.g., NetSuite, including Field Service Management) — configuration, user access, and day-to-day reliability. 
  • Improve how systems work together — integrations and data flow between platforms — to reduce manual work and errors. 
  • Evaluate, implement, and roll out new software and tools; manage the transition and training so adoption sticks. 

Infrastructure & Security 

  • Ensure the availability, security, and scalability of IT infrastructure — networks, servers/cloud, and connectivity across all locations. 
  • Manage user accounts, devices, and access controls; enforce security best practices and protect company and customer data. 
  • Own backup, disaster recovery, and business-continuity readiness. 

Help Desk & End-User Support 

  • Serve as the primary point of support for employees — troubleshooting hardware, software, and access issues. 
  • Handle device provisioning, onboarding, and offboarding as people join, move, or leave. 
  • Maintain documentation and simple self-help resources to reduce repeat issues. 

Data & Reporting 

  • Build and maintain reports and dashboards that give leadership visibility into the business. 
  • Own data quality and consistency across systems so reporting can be trusted. 
  • Partner with department leaders to turn their questions into reliable, repeatable reporting. 

Vendor & Cost Management 

  • Manage IT vendors and service providers — performance, contracts, and renewals. 
  • Control IT spend and recommend investments that deliver clear value. 

Qualifications 

  • 5+ years in a broad IT role covering systems administration, infrastructure, security, and end-user support. 
  • Solid JavaScript and database/SQL fundamentals, with the systems-thinking and self-learning ability to become proficient in NetSuite configuration and SuiteScript. 
  • Understanding of APIs and REST web services, and how to use them to integrate systems and move data reliably between platforms. 
  • Prior NetSuite, ERP, or field service software experience a plus. 
  • Solid grasp of network, cloud, endpoint, and security fundamentals. 
  • Ability to build reports/dashboards and work with data across multiple systems. 
  • Familiarity with AI tools and agents, and a track record of using them to work faster — automating routine tasks, assisting with scripting and troubleshooting, and improving day-to-day productivity. 
  • Comfortable working independently and prioritizing across many competing requests. 
  • Strong communicator who can translate technical issues into plain language for non-technical staff. 

Success in the First 12 Months 

  • Core systems are stable, secure, and well-documented, with clear user-access and security controls in place. 
  • Employees get timely, reliable support and a smooth device onboarding/offboarding process. 
  • Leadership has trustworthy, repeatable reporting from the company’s key systems.
