Job description

Description:

The Closer is responsible for coordinating the final stages of mortgage loan transactions, ensuring all closing documents are accurate and complete, managing the funding process, and ensuring smooth handoff to investors. This role sits at the center of operational execution, coordinating between internal teams (Loan Officers, Processors, Underwriting) and external partners (Escrow/Title Companies, Investors). The Closer maintains a disciplined pipeline of loans at various stages—Docs to be drawn, Docs returned, Funded, and Shipped to Investor—with a focus on accuracy, timeliness, and investor compliance.



P: Producer – Document Execution & Pipeline Movement

• Draw loan documents in the correct sequence, using Encompass to manage document generation and output

• Ensure timely document delivery to Escrow/Title companies to maintain closing schedules

• Request and process wire disbursements from warehouse bank and record all funding authorizations

• Stack and package loans accurately and efficiently for investor shipment within reasonable turnaround times

• Follow up with Escrow Agent within 24-48 hours post-funding to collect Final HUD statements and closing checks


A: Administrator – Data Integrity & Documentation

• Perform data entry and comprehensive audits of RESPA compliance and required regulatory fields in Lenders Office and Encompass to ensure document accuracy

• Review and validate estimated HUDs for accuracy of closing dates, seller concessions, required borrower funds, and fee calculations

• Inspect fully executed loan documents for discrepancies: signatures, notary pages, dates, and conditions relative to Underwriter approval

• Maintain up-to-date, accurate Encompass records to support Closing Manager reporting, file tracking, and team productivity metrics

• Document and organize all loan files with proper labeling and categorization for investor submission


I: Integrator – Cross-Functional Coordination & Communication

• Serve as primary point of contact for Loan Officers, Processors, and Escrow Agents regarding document status, fees, impounds, and funds to close

• Issue Funding Conditions lists to Escrow Agents, Loan Officers, and Processors with clear requirements and collection timelines

• Collect and sign off on all funding conditions with documented proof of resolution

• Communicate investor requirements and conditions for loan clearance and purchase

• Coordinate with all internal and external partners to ensure smooth document flow and timely resolution of outstanding items

Requirements:

• Must be available to work either 9:00 AM–6:00 PM PST or 10:00 AM–7:00 PM PST

• High School Diploma or equivalent.

• Three (3) years of prior mortgage industry experience, with documented closing/document handling responsibilities.

• Working knowledge of mortgage principles, closing process, and investor delivery requirements.

• Proficiency with Encompass LOS or equivalent mortgage software.

• Sound judgment and decision-making skills; ability to work under pressure and meet multiple deadlines with minimal supervision.

• Excellent verbal and written communication skills; strong service orientation.

• Exceptional attention to detail and commitment to accuracy.

• Reliable, punctual, and committed to compliance with company policies and procedures.


Preferred Qualifications:


• Prior experience in mortgage closing, document preparation, or title coordination.

• Familiarity with all agencies closing guidelines and investor delivery requirements.

• Bilingual English/Spanish ability desired.
