About the Opportunity
WBE Technologies is seeking an exceptionally organized, proactive, and business-savvy Administrative Assistant to serve as the trusted right hand to the CEO. This is not a traditional administrative role—this position requires strong business acumen, executive presence, and the ability to manage multiple high-priority initiatives in a fast-paced environment.
The ideal candidate is highly detail-oriented, resourceful, technologically sophisticated, and capable of operating professionally with executives, customers, vendors, investors, and strategic partners.
Key Responsibilities
Executive Support
  • Manage CEO calendar, travel, meetings, and daily priorities.
  • Coordinate board meetings, executive reviews, and customer presentations.
  • Prepare agendas, meeting materials, executive summaries, and action-item tracking.
  • Screen communications and prioritize urgent matters.
  • Draft and edit professional correspondence on behalf of the CEO.
Project & Business Coordination
  • Coordinate internal and external meetings with customers, vendors, and leadership teams.
  • Manage follow-up actions to ensure accountability and timely completion.
  • Support special projects and corporate growth initiatives.
Administrative Leadership
  • Maintain organized electronic filing systems and confidential records.
  • Coordinate corporate events, customer visits, and executive travel logistics.
  • Implement process improvements that increase executive productivity.
Required Skills & Qualifications
Technical Skills
  • Advanced Microsoft 365 skills (Outlook, Excel, Word, PowerPoint, Teams, SharePoint)
  • Strong PowerPoint presentation development abilities
  • Proficiency with DocuSign and electronic contract management
  • Ability to utilize AI productivity tools such as Microsoft Copilot and ChatGPT
  • Strong document management and project tracking capability
