Role Description


We are seeking a highly organized and detail-oriented Inventory Associate to join our team. In this role, you will support the full lifecycle of fine jewelry inventory, from receiving and system entry through product photography, ecommerce preparation, tagging, and ultimately ensuring merchandise is accurately processed and ready for the website and sales floor.


The ideal candidate will have a minimum of two years of relevant professional experience, with fine jewelry industry experience required. A strong working knowledge of fine jewelry, including diamonds, gemstones, precious metals, and jewelry terminology, is essential to accurately document detailed product specifications and maintain the integrity of inventory information.


Success in this role requires exceptional attention to detail, accuracy, organization, and the ability to manage multiple priorities in a fast-paced environment. The Inventory Associate will work closely with the Inventory Manager and cross-functional teams to keep merchandise moving efficiently through each stage of the inventory process. The ideal candidate is proactive, comfortable working with technology and inventory systems, and eager to contribute to a collaborative team while maintaining the high standards of quality and accuracy expected at Greenwich St. Jewelers.


Primary Responsibilities


Inventory Processing

  • Receive and process incoming fine jewelry merchandise, ensuring items are accurately documented and prepared for inventory.
  • Enter and maintain complete and accurate product, pricing, and specification information in the inventory system.
  • Prepare accurate product information and descriptions for ecommerce listings.
  • Photograph and edit jewelry products for ecommerce and digital use.
  • Coordinate product assets and ensure new inventory is prepared for website publication.
  • Tag and ticket merchandise accurately for display and inventory tracking.
  • Process and maintain accurate records for incoming and outgoing memo merchandise.
  • Process merchandise returns to vendors, including packaging, shipping, documentation, and internal communication.
  •  Prepare and process inventory for trunk shows and special events.
  • Support the Inventory Manager and Design Director with special projects and administrative needs.
  • Assist with back-of-house retail operations and daily jewelry setup as needed.


Inventory Loss and Prevention

  • Adhere to all security procedures as defined by store management and employee handbook
  • Demonstrate awareness of potential security risks and communicate those risks in a timely manner


Communication

  • Participate in in-store (inter-store) communications
  • Understand and accept personal role in relation to team development
  • Demonstrate consistent excellent telephone skills in accordance with company vision

Experience & Education

Experience:

  • Minimum of 2 years of professional experience in inventory management, jewelry operations, merchandising, ecommerce, or a related role.
  • Fine jewelry industry experience is required.
  • Working knowledge of fine jewelry, including metals, gemstones, diamonds, product specifications, and terminology.
  • Experience accurately entering and maintaining detailed product and inventory information in an inventory management system.
  • Strong attention to detail with the ability to manage multiple products, deadlines, and stages of inventory processing.
  • Experience with jewelry or product photography, ecommerce product listings, or digital asset management is preferred.
  • Experience with inventory management, ecommerce, project-management, or related technology platforms is a plus.


Education:

  • Jewelry or gemological education is a plus, including certifications such as Applied Jewelry Professional (AJP), Graduate Diamonds (GD), or Graduate Gemologist (GG) from the Gemological Institute of America (GIA), or equivalent credentials.


Workdays & Hours:

  • Full-time, onsite position located in New York City.
  • Monday through Friday, 9:30 a.m. to 6:00 p.m.
  • Candidates must be available to work onsite five days per week.
  • Remote and hybrid work arrangements are not available for this position.
