Job description

Key Responsibilities:
Inventory Management:
  • Maintain an accurate and up-to-date inventory of IT assets, including hardware, software, printers/scanners, peripherals and mobile phones.
  • Track the movement, transfer, and disposition of IT assets.
  • Perform regular physical audits of IT inventory to ensure consistency with the inventory management system.
  • Document and monitor all IT equipment lifecycle from procurement to disposal.

Procurement Support:
  • Work closely with the IT team and procurement department to support the purchasing of new hardware, software, and other IT assets.
  • Assist with requisitioning, receiving, and verifying the condition of IT items upon delivery.
  • Ensure that all IT equipment is properly tagged and entered into the asset management system upon receipt.
  • Mobile phone provisioning.
  • Manage Vendor relationships.

Asset Lifecycle Management:
  • Coordinate the return, repair, or disposal of obsolete or non-functional IT equipment.
  • Ensure the timely and secure disposal of IT assets, including data destruction procedures.
  • Maintain records of asset warranties, licenses, and maintenance schedules.

Software and License Management:
  • Track software licensing and ensure compliance with licensing agreements.
  • Maintain software inventory and license records for audits and reporting purposes.
  • Assist with software deployment and installation as needed.

Reporting and Documentation:
  • Prepare inventory reports for management, including status, utilization, and upcoming needs.
  • Generate asset management reports for internal audits and compliance purposes.
  • Document inventory processes and best practices to improve the efficiency and accuracy of IT inventory control.

Collaboration & Support:
  • Collaborate with IT staff and departments heads (where appropriate) to understand upcoming technological needs and assist in planning for new purchases.
  • Provide support to the IT department by tracking and managing IT resources during technology projects or upgrades.
  • Assist end-users with IT asset-related inquiries, including hardware assignments and troubleshooting.

Qualifications:
  • Education: Bachelor's degree in Information Technology, Business Administration, or related field (or equivalent experience).

Experience:
  • 2-3 years of experience in inventory control, IT asset management, or a related field.
  • Experience working with inventory management software and asset tracking systems.

Skills & Competencies:
  • Strong attention to detail and organizational skills.
  • Knowledge of IT hardware, software, and systems.
  • Familiarity with software licensing and compliance.
  • Proficient in Microsoft Office Suite (Excel, Word, etc.) and inventory management tools.
  • Strong communication and interpersonal skills.
  • Ability to work independently and manage multiple tasks effectively.
  • Problem-solving and analytical thinking capabilities.

Preferred Qualifications:
  • Certification in IT Asset Management (e.g., Certified IT Asset Manager - CIAM).
  • Familiarity with ITIL (Information Technology Infrastructure Library) framework.
  • Experience with inventory management tools such as Zoho Desktop Central and Service Desk, ServiceNow, Asset Panda, Zoho or similar software

Working Conditions:
  • Office environment with occasional lifting of equipment up to 10 lbs.
  • Occasional travel to different locations across all 5 boroughs or vendor sites may be required.
  • Must be able to work flexible and non-traditional hours during system upgrades or inventory audits.
