INVENTORY AND TOOL ROOM CLERK

Directly Reports To: Purchasing, Inventory and Supply Coordinator


Mission of this Position:

The Inventory and Tool Room Clerk supports the Maintenance Department by ensuring aircraft parts, tools, materials, and maintenance supplies are properly received, organized, documented, issued, and tracked in accordance with FAA regulations and company procedures. This position plays a critical role in maintaining inventory accuracy, supporting aircraft readiness, and assisting maintenance personnel with timely access to required materials.
The Inventory and Tool Room Clerk helps maintain an organized, compliant, and efficient maintenance inventory operation while supporting the operational goals and safety culture of the organization.

Key Responsibilities:

Meet or exceed position duties and expectations while displaying initiative, professionalism, and adherence to company SOPs, FAA regulations, and organizational core values.

Inventory and Parts Control Duties:

  • Receive, and properly document incoming aircraft parts, tools, and materials
  • Verify packing slips, certifications, and required FAA documentation for incoming inventory
  • Maintain accurate inventory records within maintenance tracking or inventory systems
  • Organize and stock parts room shelves, cabinets, and storage areas
  • Monitor inventory levels and notify leadership of low stock or reorder needs
  • Assist with issuing and tracking parts distributed to maintenance personnel
  • Conduct periodic inventory counts and cycle counts to ensure inventory accuracy
  • Assist with shipping, receiving, and processing returned or warranty items

Regulatory Compliance Duties:

  • Ensure all aircraft parts and materials are stored and documented in accordance with FAA and company requirements
  • Maintain proper traceability and documentation for aircraft components and materials
  • Assist with maintaining records for audits, inspections, and regulatory reviews
  • Identify expired, unserviceable, or quarantined parts and ensure proper segregation procedures are followed
  • Support compliance with company safety programs and hazardous material handling procedures

Administrative and Coordination Duties:

  • Assist with procurement activities and vendor communications as directed
  • Track shipments and coordinate delivery schedules for maintenance materials
  • Support maintenance personnel with locating parts, tools, and consumables
  • Assist with maintaining cleanliness and organization of the parts room and maintenance office areas
  • Coordinate with maintenance leadership regarding inventory priorities and operational needs

Systems and Data Management Duties:

  • Utilize inventory management and maintenance tracking systems (e.g., CAMP, Veryon, Ramco, or similar)
  • Maintain accurate electronic and physical inventory records
  • Assist with data entry related to receiving, issuing, and transferring inventory
  • Generate inventory reports and assist leadership with inventory analysis as requested

FAA-Sensitive Materials / HazMat Handling:

  • Handle and store hazardous materials, chemicals, batteries, lubricants, and other regulated materials in accordance with FAA, OSHA, DOT, and company procedures
  • Maintain awareness of Safety Data Sheets (SDS) and proper handling requirements for maintenance materials
  • Assist with proper labeling, segregation, and disposal of hazardous materials and unserviceable components
  • Ensure hazardous materials are transported and stored in approved containers and locations
  • Immediately report spills, damaged containers, or unsafe conditions to maintenance leadership

Physical Requirements:

  • Ability to regularly lift, carry, push, and pull materials weighing up to 50 pounds
  • Ability to stand, walk, bend, kneel, climb ladders, and work in warehouse and hangar environments for extended periods
  • Ability to work in varying weather conditions, temperatures, and operational environments
  • Ability to safely operate basic warehouse equipment and material handling devices
  • Ability to read labels, part markings, and documentation with a high degree of accuracy

Essential Skill Set:

  • 1โ€“3 years of experience in inventory control, warehouse operations, or aviation maintenance support preferred
  • Aviation, FAA-regulated, or maintenance environment experience strongly preferred
  • Basic understanding of aircraft parts handling and documentation requirements preferred
  • Strong organizational and time management skills
  • High attention to detail and accuracy
  • Ability to work independently and in a team environment
  • Proficiency with Microsoft Office Suite (Outlook, Excel, Word)
  • Experience using inventory or maintenance tracking software preferred
  • Strong verbal and written communication skills
  • Dependable attendance and ability to work in a fast-paced operational environment in variable shifts
