LEAD MEDICAL ASSISTANT
Location: Rendon Center - Boca Raton, Florida
Department: Clinical Operations
Reports To: Office Manager / Clinical Supervisor
POSITION SUMMARY
The Lead Medical Assistant is an internal advancement opportunity available to full-time Medical Assistants who have demonstrated proficiency in their role and developed a strong understanding of the practice's workflow, operations, and team dynamics. This position is intended for individuals who consistently exhibit leadership, professionalism, reliability, and a commitment to supporting the success of the practice.
The Lead Medical Assistant is expected to maintain a strong presence on the clinical floor and actively assist with patient care and provider support when needed. This is a working leadership position that requires accountability, initiative and organization of the clinic. In addition to other assigned Medical Assisting duties.
ESSENTIAL FUNCTIONS
Provide daily leadership, direction, and support to the Medical Assistant team under the direct supervision of Clinical Supervisor or Office Manager.
Work collaboratively with Cosmetic Coordinator and other virtual cosmetic assistants
Maintain a visible and active presence on the clinical floor throughout the workday.
Monitor daily patient flow and room availability to optimize scheduling efficiency, support timely patient placement, and minimize delays in care delivery.
Assist with daily inventory count/monthly inventory/Retrinex count
Keep record of providers daily count sheets as it relates to providers consumables
Open and organize incoming supply shipments.
Receive and verify deliveries against packing slips.
Upload packing slips into Envi for inventory and recordkeeping.
Receive and send product transfer forms in Envi with management approval.
Place office supply orders in the absence of the Clinical Supervisor.
Oversee - Instruments cleaning and packaging for sterilization.
Assist with biohazard waste pickup in the absence of the Clinical Supervisor.
Assist with the daily biopsy count at the end of each day and ensure both accurate labeling and bottle count is accurate in the absence of the Clinical Supervisor.
Responsible to monthly breakdown of Sciton laser machine and set up upon returned.
Ensure lasers received and ready to be sent out have all checklist items.
Verify that all lasers are turned off at the end of each day to ensure compliance with safety protocols.
Communicate with local pharmaceutical representatives in the absence of management to support practice needs and maintain professional relationships.
Ensure clinical areas remain clean, organized, and compliant with practice standards.
QUALIFICATIONS
• High school diploma or equivalent required.
• Medical Assistant certification preferred.
• Minimum of three years of Medical Assistant experience preferred.
• Dermatology experience strongly preferred.
• Previous Lead Medical Assistant, Senior Medical Assistant, or clinical leadership experience preferred.
• Experience with medical inventory management and purchasing systems preferred.
• Experience using ENVI or similar healthcare inventory management systems preferred.
• Experience with electronic health record systems required.
• Strong leadership, communication, organizational, and problem-solving skills.
• Ability to prioritize responsibilities and manage multiple tasks in a fast-paced clinical environment.
PERFORMANCE EXPECTATIONS
The Lead Medical Assistant is expected to:
• Maintain accurate inventory records and prevent avoidable supply shortages.
• Place appropriate and timely orders through ENVI.
• Ensure packing slips and receiving documentation are uploaded accurately and promptly.
• Complete month-end physical inventory and reconciliation by established deadlines.
• Ensure Medical Assistants are properly trained and consistently following clinical protocols.
• Maintain organized, properly stocked patient rooms, and VIP lounge.
• Demonstrate professionalism, accountability, reliability, and leadership in all aspects of the role.
PHYSICAL REQUIREMENTS
• Ability to stand and walk for extended periods.
• Ability to assist with patient positioning and clinical procedures.
• Ability to lift and move medical supplies and equipment consistent with the physical requirements of the position.
• Ability to perform repetitive clinical and administrative tasks throughout the workday.
