Job description

Level: 0-3 years of experience  

Location: Preference for Boston area, open to remote 

Job Overview:

The Marketing Operations team partners with consultants across NEPC to respond to requests for proposals (RFPs) generated through new business opportunities. The Proposal Administrator supports the RFP team by managing administrative tasks throughout the proposal process, helping ensure each submission moves smoothly from initial request to final delivery. 

Job Summary:

  • Enter and maintain new business opportunities in Backstop, NEPC's CRM system.  
  • Maintain the marketing sample library, including anonymizing materials to prepare them for distribution to prospects.  
  • Update PowerPoint slides on a quarterly basis, including representative client lists.  
  • Serve as the first point of contact for coordinating new business presentations.  
  • Serve as the first point of contact for ad hoc requests related to biographies and presentation slides.  
  • Obtain and maintain access to external portals, including managing passwords through NEPC's password management system.  
  • Prepare monthly team leader update emails.  
  • Prepare quarterly consultant update emails.  
  • Compile various monthly reports, including the pipeline report and marketing updates for NEPC's internal newsletter.  
  • Coordinate print instructions for proposals requiring physical copies.  
  • Perform other administrative tasks as needed. 

Job Requirements:

  • Bachelor's degree is required.  
  • Zero to three years of professional experience; prior internship or administrative experience is a plus.  
  • Strong attention to detail and organizational skills.  
  • Comfortable managing multiple tasks and deadlines in a fast-paced environment.  
  • Proficiency in Microsoft Word, Excel, and PowerPoint.  
  • Interest in financial services is a plus, though not required.  
  • Strong written and verbal communication skills. 
  • Comfort with AI use and willingness to develop skills. 
  • Ability to work proactively on recurring requests. 

Compensation:

The base salary for this role is $54,000 - $66,000 per year. Individual compensation is based on a variety of factors, including experience, education, certifications, location, responsibilities of the role, internal equity and alignment with market data.
