BioPhase Solutions specializes in recruiting top talented professionals for Southern California's Scientific community. We are currently looking for a Data Specialist to work for a leading Los Angeles area biotech company.

$30-37/hour depending on experience

6-month temp with potential to convert to FTE

Summary:
The Data Specialist position will process the intake and data entry of the client's legal agreements. This position will be responsible for reviewing high volumes of contracts to identify and extract key metadata, such as effective dates, termination terms, cost and contract types, and manually inputting this information into our central contract database. The ideal candidate thrives in a routine-heavy environment and possesses a "sharp eye" for identifying specific clauses across various document formats.

Responsibilities:
  • Meticulously reviews various contract types to identify essential data points (effective dates, expiration dates, and contract types) and accurately input them into the database with accuracy.
  • Upload agreements, input data and maintain contract database.
  • Actively monitors a large Outlook intake mailbox for incoming signed contracts; categorize and prioritize emails based on contract type and urgency.
  • Performs consistent self-audits on all entered data and digital files to ensure 100% accuracy and organized digital filing.
  • Uses Adobe Acrobat to combine, split, OCR (make searchable), and redact sensitive information in legal documents.
  • Attend daily triage meetings to provide updates on incoming contract volume and highlight high-priority or "material" agreements for the legal/finance teams.
  • Performs routine and specialized administrative duties for Legal and Contract Operations.
  • Adheres to Standard Operating Procedures (SOPs).
  • Handles additional projects and responsibilities as assigned.
Qualifications/Experience:
  • High School Diploma, with a minimum of 3+ (including but not limited to internships and/or coursework) years of relevant experience required, Or
  • Associateโ€™s degree, with a minimum of 1+ (including but not limited to internships and/or coursework) years of relevant experience required
  • Thrives in a role that requires performing the same data entry tasks consistently throughout the day.
  • Advanced folder management and inbox organization skills in Outlook.
  • Competency in Adobe Acrobat Professional
  • Ability to clearly report on contract entry status and volume during daily team meetings
  • Familiarity with standard contract structures (NDAs, MSAs, SOWs) and "legalese."
  • Sharp attention to detail; ability to spot minor errors or inconsistencies in complex legal text and data fields.
