Job description

CAREERS: The Next Generation is a unique, non-profit organization raising youth awareness of career options and helping students earn while they learn through internship. We partner with government, educators, communities, industry, parents, and students to introduce youth to rewarding careers and develop the skilled workers of the future.  


We are seeking a detail-oriented, adaptable, and customer-focused Administrative Assistant with strong problem-solving abilities and the capacity to quickly pivot in response to changing priorities and employer needs. This role plays a key part in supporting the administration and delivery of a high-volume funding program for employers. 


The role is part-time, temporary (15 hours or more depending on the work).



Key Responsibilities



  • Review and assess new applications to support the progression of the funding program.
  • Communicate with employers regarding program inquiries and provide follow-up support via phone and email.
  • Respond to employer leads and inquiries as the first point of contact for the funding program.
  • Maintain accurate records and documentation related to applications and employer interactions.
  • Assist with tracking application status and ensuring timely movement through the funding process.
  • Escalate complex inquiries or issues to the appropriate team members as needed.
  • Provide general administrative support to ensure smooth program operations.



Qualifications



  • Previous experience in an administrative, customer service, or program support role.
  • Desire to be proactive and demonstrate initiative with a can-do attitude.
  • Strong verbal and written communication skills.
  • Comfortable communicating with employers and external stakeholders by phone and email.
  • Excellent organizational skills with high attention to detail.
  • Ability to manage multiple tasks and prioritize work effectively.
  • Tech savvy and comfortable working with new technology and/or databases.
  • Familiarity with Microsoft 365 applications and CRM/case management systems considered an asset.
