Senior Manager of Volunteer Programs for Forever Balboa Park (FBP)
 Reports to: Vice President of Planning
Department of Labor Classification: Exempt
Position Summary
The Senior Manager of Volunteer Programs is responsible for managing the daily operations of the volunteer programs, including recruitment, training, retention, and scheduling of individual and group volunteers and interns. The Senior Manager of Volunteer Programs supervises Volunteer Coordinators and works closely with the Vice President of Planning, and the Project Specialists. 
 
Essential Functions
● Manage, maintain and grow the FBP volunteer program of over 450 volunteers through outreach to individuals, community-based organizations and groups, colleges/universities, and corporations as needed.
● Work closely with all departments to periodically assess needs for volunteer expertise and level of volunteer staffing.
● Develop/refine and maintain processes to recruit, train and manage volunteer corps.
● Work with the City of San Diego on volunteer Live Scan background check requirements, risk waivers, as well as ensuring volunteers complete all required trainings such as sexual harassment prevention trainings, court ordered service hours and others.
● Support and execute the Service Enterprise Model (SEM) of the Points of Light standards within all FBP volunteer programs.
● Develop and implement a volunteer engagement program consistent with SEM (newsletters, recognition, etc.).
● Identify and establish volunteer experience verticals (Visitors Center, Tree Stewards, Garden Stewards, Park Ambassadors, Admin/Events, etc.).
● Manage volunteer interest submissions and delegate potential volunteers to the appropriate coordinator or staff member for the volunteer’s skillset and interest.
● Enter and maintain data in the volunteer management database (Volgistics).
o Assure volunteers track served hours.
● Represent FBP on the parkwide Volunteer Leadership Council.
● Help prepare volunteer position descriptions with appropriate managers.
● Help prepare cost benefit analysis for volunteer positions and provide accurate and timely volunteer data for funder and volunteer-requested reports for grant content.
● Provide information, stories, photos and other materials for donor and grant funding opportunities.
● Distribute and schedule Volunteer Coordinators to cover all volunteer shifts effectively. 
● Manage volunteer staff members to cover all volunteer shifts, events, and outreach efforts
● Be the point of contact for volunteer staff for Timecards, ADP, and employee scheduling.
● Work with Institutional Advancement staff to promote volunteer opportunities on social media platforms and in-person outreach.
● Collaborate with other Balboa Park Institutions and educational departments to find volunteer efficiencies with other park stakeholders to improve and enhance intra-park engagement opportunities.
● Help Volunteer Coordinators, and Visitor Services Managers define, schedule, and conduct appropriate volunteer trainings, orientations, and day to day volunteer shifts that align with Forever Balboa Park as a whole.
● Manage comprehensive onboarding, orientation, and day-to-day processes for new and existing volunteers.
● Engage with existing volunteers daily and provide feedback guidance as needed.
● Maintain ongoing communications with volunteers through email news blasts, newsletters and print materials, appreciation cards for various occasions.
● Plan and execute volunteer appreciation, retention, and training activities.
● Develop and administer annual volunteer satisfaction survey; compile and report results to leadership staff and Board of Trustees.
● Work occasional Saturdays or holidays at request as needed.
● Coordinate Park improvement projects with volunteers.
● Coordinate with Events Manager for volunteer help as needed.
● Assist with placemaking/ activation programs by coordinating with park partners and vendors regarding volunteer needs.
● Address and manage all volunteer roles, responsibilities, regarding volunteer human resource issues.
 
 Qualifications and Skills
● Bachelor’s degree or equivalent experience
● Minimum 4 years of experience in comparable role
● Excellent time management and organizational skills
● Effective communicator, attention to detail, yet able to see the broader picture
● Needs to work well both independently and with a team and display excellent follow through and be self-motivated
● Capacity to take direction and embrace constructive feedback
● Ability to work professionally and collaboratively in a team setting and semi-open office environment
● Proficient with basic office software and applications (e.g., MS Word, Excel, PowerPoint, Google Drive and gmail platforms).
● Clean driving record and ability to drive Forever Balboa Park truck and golf carts
 
Physical Demands 
● Must be able to lift 50 lbs.
● Must be able to set up and take down 5×5, and 10x10 canopy for volunteer info booths and events.
● Some bending, stooping and kneeling, sitting for significant time at a desk working with a computer, and ability to communicate orally and in writing
● Visual acuity to perform tasks
● Ability to receive and document detailed information through oral communication
