Minimum Requirements
• An associate degree in business or a related field.
• Proficiency in Microsoft Office applications, including Word and Excel.
• Demonstrated organizational skills with attention to detail and accuracy.
• Ability to establish and maintain a good working relationship with co-workers.

Primary Functions of Position
The Administrative Assistant is responsible for providing clerical, administrative, and project support to the Facilities Department. The position maintains current general knowledge of appropriate college and departmental policies, processes, and procedures to ensure the department's efficiency and integrity. The Administrative Assistant provides clerical and technical support to the Director of Facilities and to Maintenance, Grounds, and Custodial personnel. To accomplish the position's objective, the Administrative Assistant performs the following functions.
Essential Duties:
• Answer telephone calls, schedule meetings, and maintain record-keeping of tasks related to maintenance, grounds, and custodial.
• Assist in scheduling work orders, track facility maintenance, coordinate with maintenance/grounds staff, and monitor custodial supplies.
• Maintain an electronic tracking system of work assignments and work in progress. Ensures the system is updated promptly as work orders are completed and includes notes for unavoidable delays, such as part ordering. Communicates with the request initiator to keep them updated in a timely manner.
• Maintain maintenance, grounds, and custodial timesheets, verify their accuracy, and submit them to the Payroll Office in a timely manner each month.
• Prepares purchase orders, processes invoices, and timely submits to Accounts Payable at a minimum once per week.
• Order department supplies, perform follow-up, receive supplies, and deliver as required.
• Assists with shipping and receiving and serves as backup when needed.
• Assists the Director of Facilities with Project management and monitors the completion of projects as assigned.
• Responsible for scheduling servicing and repair of the college fleet vehicles.
• Responsible for maintaining and recording key issuance to all faculty/staff employees.
• Assists with special college functions as needed
• Assists with other duties in the Facilities Department as assigned by the supervisor
Skills and Abilities:
• General administrative skills, including but not limited to typing, data entry, scanning,customer service, etc.
• Ability to communicate effectively, both orally and in writing.
• Skilled in organizing, prioritizing, and completing multiple tasks in a timely manner.
• Proficient in general computer applications
• Committed to ongoing professional development and maintaining positive working relationships.
