Job Title: Office Administrator
Job Description
Aston Carter is partnering with a leading water treatment company in Lake County, IL. We are currently seeking an experienced individual to fulfill the role of Office Administrator. This position involves managing and supervising business office functions and serving as an HR Assistant. The ideal candidate will handle employee inquiries, liaise with vendors, and apply company policies and procedures to resolve issues. They will determine courses of action based on guidelines, modify processes as needed, and exercise judgment within defined procedures to determine appropriate actions.
Responsibilities
- Handle sensitive and confidential matters, including employee relations, organizational changes, and compliance with labor laws.
- Diligently work towards the completion of special projects, requests, and assignments.
- Assist in onboarding and orientation by preparing offer letters, initiating the onboarding process, and managing the progress of candidates and manager tasks.
- Greet and assist visitors/customers and enable key cards as requested by employees and vendors.
- Manage multiple projects, prioritize, and track deadlines independently and as part of a team in a busy environment.
- Oversee maintenance of office facilities by coordinating repairs and managing relationships with service providers.
- Prepare requests by working with hiring managers to compile necessary information.
- Ensure employee files are maintained according to company policies and federal, state, and local regulations.
- Plan and execute employee engagement events.
- Troubleshoot problems and follow through to resolution.
- Abide by all company policies as outlined in the employee handbook.

Work Environment
This role operates in a fast-paced, high-growth environment with frequent interruptions and shifting priorities. It is primarily on-site, supporting a facility with both warehouse and office operations. Systems used include Outlook, Concur, Prodigy, and basic Excel. The team consists of approximately 100–110 employees on busy days, with about 70 in the warehouse and 40 in the office. The role supports multiple departments and interacts with leadership, including HR, operations, supply chain, and finance. This is a full-time position, typically starting around 7 AM, with flexible scheduling based on needs.
Job Type & LocationThis is a Contract to Hire position based out of Libertyville, IL.
Pay and BenefitsThe pay range for this position is $28.00 - $30.00/hr.
