Shift/schedule: Full Time (40 hrs/wk)GENERAL SUMMARY
Works under the direction and supervision of the Registered Pharmacist Supervisor and Community Pharmacy Manager. The Outpatient Pharmacy Assistant Supervisor's primary job function is to maintain and coordinate an efficient pharmacy workflow by providing the leadership and management skills necessary to monitor and manage the pharmacy technicians at their respective pharmacy. This includes but is not limited to creating the pharmacy technician schedule, assigning workflow assignments and lunch times, coordinating coverage for technician and cashier call offs, and assisting the Registered Pharmacist Supervisor with supervising, training, and leading pharmacy technicians by conducting one-on-one meetings, rounding, and technician evaluations on a regular basis, and assisting with coaching and corrective action conversations when warranted. In addition to these leadership duties, the Outpatient Pharmacy Assistant Supervisor is also responsible for being the primary contact for all training needs related to current and future pharmacy processes and procedures, including pharmacy software and automation, as well as being responsible for maintaining and controlling pharmacy inventory. The Outpatient Pharmacy Assistant Supervisor will have at least 50% of their time that will be considered as administrative time to accomplish these functions. Performs technician duties as assigned.
QUALIFICATIONS
Education:
• High School Diploma or successful completion of an equivalent High School Exam required.
• Completion of a board approved Pharmacy Technician training program or National Certification required.
• Achievement of 90% or higher on SOMC's Competency Assessment for Increasing Technician Responsibilities required within 2 years.
• Completion of advanced certified pharmacy technician courses and examinations offered through PTCB or NPTA/BPTS required within 4 years.
• Advanced certificates in Immunization Administration, Medication Therapy Management, Technician Product Verification, Supply Chain Management, and Regulatory Compliance required within 4 years.
• Completion of ASHP's Pharmacy Leadership Certificate: Management Basics course preferred.
Licensure:
• Successful completion of National Certification test required (PTCB or NHA).
• For Ohio: State of Ohio Board of Pharmacy Technician Registration as Registered Pharmacy Technician required.
• For Kentucky: State of Kentucky Board of Pharmacy Technician Registration required.
• Successful completion of Advanced Certified Pharmacy Technician courses and examinations (PTCB or NPTA/BPTS) to obtain credentialing of CPhT-Adv required within 4 years.
Experience:
• One-year SOMC Pharmacy Technician experience preferred.
• At least 5 years' Pharmacy Technician experience required.
JOB SPECIFIC DUTIES AND PERFORMANCE EXPECTATIONS
The following is a summary of the major job duties of this job. Other duties may be performed, both major and minor, which are not mentioned below. Specific activities may change from time to time.
1. Maintains and coordinates the day-to-day pharmacy workflow to ensure efficiency.
2. Coordinates a monthly pharmacy technician and cashier schedule including daily assignments and lunch times.
3. Responsible for preparing the schedule for technicians, cashiers, and interns. Approves PTO/schedule requests and coordinates cashier and technician call-offs. Utilizes UKG to perform timekeeping duties including, but not limited to, posting schedules, modifying schedules, addressing exceptions and notifications, approving PTO requests, and approving timecards.
4. Acts as an Inventory Champion to ensure cycle counts are completed Monday through Friday, AmerisourceBergen deliveries are signed for, EDI files and receipts are accepted timely, INMAR returns are gathered and sent, obsolete inventory returns are completed, outdate sections are assigned and updated regularly, inventory audits are performed when necessary, and a gameplan is developed and planned for yearly inventory.
5. Checks incoming orders of medications and pharmacy supplies against purchase requisitions for accuracy and completeness.
6. Monitors stock levels and items needed to ensure adequate inventory. Assures stock rotation and placement of items in appropriate storage areas.
7. Maintains adequate files and purchase records to allow for long and short-range purchase planning.
8. Continually confers with the Pharmacy 340B Coordinator(s) to ensure that the most efficient and cost-effective products possible are being purchased.
9. Assists the Community Pharmacy Manager and Registered Pharmacist Supervisor with certain assigned reports, projects, and insurance audits.
10. Conducts peer interviews and pharmacy tours.
11. Manages and maintains certification requirements and renewals for other technicians, staying up to date with processes and procedures relating to OH & KY, national certification, and advanced certification licensure.
12. Assists pharmacist supervisor in creating and updating job responsibilities and processes/procedures.
13. Acts as a champion for change and engages the team around action planning for new technologies and processes.
14. Monitors productivity of all team members.
15. Acts as a resource person for the staff for technical and personnel related problems. Ensures that established policies and procedures are followed.
16. Performs maintenance, troubleshooting, and training involved with Pharmacy Management System and automation.
17. Assists the Registered Pharmacist Supervisor with supervising, training, and leading pharmacy technicians by conducting one-on-one meetings, rounding, and technician evaluations on a regular basis, and provides input to coaching and corrective action conversations, when warranted.
18. Assists and provides support to senior leadership with assigning, teaching, supervising, and monitoring the work of Pharmacy Technicians, students, interns, residents, and externs to ensure accurate departmental procedures are being followed.
19. Acts as the primary trainer for all new hires and is available to support other community pharmacy teams with training and onboarding on an as needed basis.
20. Assists the pharmacist supervisor with managing their area of responsibility to analyze, improve, and achieve metric expectations in all strategic value categories.
21. Collaborate with other SOMC community pharmacy leaders to establish operational consistencies among pharmacies to allow for efficient staff floating, consistent patient care, and financial optimization.
22. Collaborate with the SOMC Specialty Pharmacy to establish communication and workflows that meet patient and payer needs.
23. Provides prompt, efficient, and courteous service, answer telephone inquiries; takes messages when necessary or directs inquiry to the appropriate person.
24. Assists manager with staff meetings. Manages daily huddles and compiles notes for quarterly rounding. Regularly communicates with staff. Promotes positive intradepartmental relationships.
25. Monitors dashboard indicators related to area of responsibility. Collect data for dashboard. Assists manager with development and implementation of action plans/task lists.
26. Ensure staff delivers a high level of customer service. Promptly investigates customer complaints. Follows up with patients and patient relations as appropriate.
27. Works with patients, drug manufacturers, specialty pharmacy, and/or social work to enroll patients in various programs by assisting with applications, helping patients gather income data, and working with providers to obtain valid prescription orders.
28. Follows accepted standards of practice and adheres to federal, state, and local regulations, as well as the policies and procedures of SOMC and Pharmacy Services.
29. Maintains a level of professional competency and remains current in the field of pharmacy.
30. Demonstrates organizational mission and values through daily actions, decision making, and priority setting; treats others in a manner which honors their dignity and worth.
31. Participates in pharmacy leadership development and competencies alongside the pharmacist supervisor, which includes key pharmacy meetings and pharmacy retreats.
32. Member of Outpatient Pharmacy Process Improvement Committee
33. Performs all other required pharmacy technician job duties as assigned.
