Position Summary

The Receptionist provides administrative and clerical support at Rise's Programs. This position manages incoming calls and greet guests upon entrance to the building. The receptionist is a key role at the assigned site and interfaces with staff, members of the community, and persons served and their families.

Responsibilities

  • Communicate clearly; listen to others; write effectively; establish relationships; act with integrity; establish trust
  • Build and maintain effective working relationships with site contacts including but not limited to office property owner, Rise maintenance department, Rise IT department and office manager
  • Manage incoming phone calls, transferring calls and greeting guests upon entrance to the building
  • Maintain daily schedule for common meeting rooms using MS Outlook Calendar
  • Disseminate general information about Rise programs and services to callers and visitors
  • Sort mail, interoffice deliveries and run postage as needed
  • Filing as needed and shred paper files according to schedule
  • Assist with preparing materials for meetings and booking rooms as needed
  • Order supplies for the office and keep office supplies regularly stocked
  • Provide office orientation to new staff
  • Perform light janitorial duties such as garbage removal, cleaning of bathrooms, vacuuming as well as sanitizing common areas and conference rooms.
  • Participate in the Safety Committee by attending all scheduled meetings, participating in safety drills and internal inspections, completing monthly fire extinguisher checks, maintaining current list of chemicals used, and posting Safety Committee meeting minutes and safety related information
  • Manage the Resource Center, maintain computer area and assist persons served with using the computer and printer when needed. Delete all stored computer files and complete updates weekly.

Requirements

Required Education, Experience, and other Qualifications

  • At least one year of experience as a receptionist or similar role. Can include experience gained through internships and volunteerism.
  • Effective multi-tasker in busy environments
  • Excellent organizational skills
  • High degree of technical expertise and ability in Microsoft applications including Excel, Word, PowerPoint, Outlook, Teams, OneDrive, and SharePoint.
  • Maintain confidentiality
  • Friendly demeanor
  • Ability to sit and use a computer for up to 8 hours/day
  • Strong problem-solving skills and attention to detail
  • Ability to engage a diverse population and react in a positive way to unpredictable situations
  • Current, valid driver's license
  • A driving record that demonstrates safe, legal driving habits
  • Compliance with Rule 11 and MVR background check required

Work Environment

  • This position primarily works on site during normal business hours, 32 hours work week, 4 days a week 7 am - 4 pm (You can choose any 4 days between Mondays - Fridays)
  • May require some travel to other Rise locations around the Twin Cities area
  • Remote meetings take place over Microsoft Teams, and this is the primary platform for collaboration and communication across the organization.
