Job Summary
The full-time implementation of this position combines two major roles of Counseling Clinic Management and Student Clinical Field Experience Coordination. The Clinic Manager oversees Bushnell’s mental health clinic, which serves Bushnell students, and Eugene area residents. As an effective CMHC program team member, the Clinical Field Experience Coordinator’s role is to help create and coordinate all CMHC student Internship and Practicum placements (practicum and Internship students, practicing under supervision of experienced professionals, treat children, individuals, couples, and families of all backgrounds and beliefs). The Clinic Field Experience Coordinator will collaborate with the Director of the CMHC program and CMHC faculty and staff to cultivate relationships and partnerships for placement sites; maintain an orderly and productive work environment; and model effective professional communication and interpersonal skills with both internal and with external entities. This person may serve on departmental, or university committees as assigned by the Dean of the College of Health Professions or VPAA.
Position may be split into two, half-time positions if needed.
Position Duties and Responsibilities
- Provide an excellent role model of wisdom, faith, and service; contribute to the integration of faith and learning on campus.
- Liaise with university staff and faculty as necessary
- Maintain student files for the CMHC program using electronic databases
- Cultivate relationships with internship placement sites and referrals
- Develop and monitor practicum and intern student placements and schedules
- Review and collaborate with the Program Director for CMHC to develop or amend clinic and field experience manuals and protocols.
- Attend Faculty and Staff meetings in CMHC and CHP
- Schedule and facilitate non-clinical staff meetings, annual Internship Fair
- Aid during crisis situations, including helping to locate supervisory personnel
- Ensures that the program provides a Fieldwork Handbook to all students and fieldwork site supervisors detailing requirements, expectations, policies, and procedures, including:
- CACREP standards and definitions related to supervised practicum and internship,
- supervision agreement;
- evaluation procedures and requirements;
- and policy for student retention, remediation, and dismissal from the program.
- Written supervision agreements:
- define the roles and responsibilities of the faculty supervisor, field experience site supervisor, and student during practicum and internship;
- include emergency procedures; and
- detail the format and frequency of consultation between the counselor education program and the site to monitor student learning.
- Orientation: The counselor education program provides orientation to fieldwork site supervisors regarding program requirements and expectations.
- Student Monitoring [shared role with program faculty]: During entry-level professional practice experiences, the counselor education program engages in consultation with the fieldwork site supervisor to monitor student learning and performance in accordance with the supervision agreement.
- The counselor education program provides professional development opportunities to fieldwork site supervisors.
- Facilitate quality assessment analysis and reporting
- Meet regularly with the CMHC Program Director
- Schedule in-service training for professional and student staff, as necessary to support a well-functioning clinic.
- Support students leads who manage front desk, calls and intakes
- Assign clients to student providers
- Market and represent the Counseling Clinic to the campus and community
- Facilitate and coordinate facilities maintenance services and technology services
- Facilitate and coordinate insurance documentation as required for empaneling and payment authorization
- Facilitate and coordinate electronic health record software platform
- Have input to discretionary spending of Counseling Clinic budget
- Ensure maintenance of the clinic (cleanliness, neatness, professional presentation) especially the client waiting room
- Focus on prompt scheduling and return of client calls
- Accommodate faculty and students whenever possible in the use of the facility for training and educational purposes
- Enforce Bushnell and ACA Ethical standards for professional behavior, disposition, non-discriminatory practices and appearance for all clinic staff and students as described in relevant Bushnell policies and handbooks
- Oversee weekly Bushnell Counseling Clinic cash receipts and deposits
- Related to CACREP Standards:
- Responsible to manage semi-annual internship fairs and additional activities as needed in support of the program’s provision of ongoing support to help students find fieldwork sites that are sufficient to provide the quality, quantity, and variety of expected experiences to prepare students for their roles and responsibilities as professional counselors within their CACREP specialized practice areas.
- Ensures that students are covered by individual professional counseling liability insurance while enrolled in practicum and internship.
- Ensures that supervision of practicum and internship students includes secure audio or video recordings and/or live supervision of students’ interactions with clients that are in compliance with applicable institutional, state, federal, and international privacy requirements for all program delivery types.
- Ensures that students have the opportunity to become familiar with a variety of professional activities and resources, including technology, as part of their practicum and internship.
- Continues to coordinate the Student Athlete Mental Health Program.
- Collaborate with other Bushnell departments (e.g., admissions, advising, marketing, registrar, student services, etc.) to ensure effective communication and program operation
- Demonstrate clear, courteous, and direct communication with students, faculty, staff, and community
- Provision of appropriate referrals
- Adhere to all ethics and rules of the Oregon Board of Licensed Professional Counselors and Therapists and American Counseling Association Code of Ethics.
- Fulfill any other duties as assigned by supervisor.
- Ability to utilize Microsoft platforms (desktop, cloud) including Outlook, Word, Excel, PowerPoint, Visio, ToDo, PowerBI, SharePoint, OneNote, Teams, Forms, and ToDo/Planner; ability to learn University AI platforms toward office efficiency.
- Electronic Health Record and related platforms.
- Experience utilizing e-mail for the purposes of organizational communications.
- Ability to manage multiple calendars efficiently and effectively
Experience and Qualification Requirements
- Master’s degree in Counseling or marriage, families and couples counseling. CACREP Degree preferred. Must be licensed (e.g., LPC, LMFT) in the State of Oregon or be a Registered Professional Counseling Associate eligible for licensure within two years. Must have at least 3 years of experience in the field. Possessing experience in higher education is preferred.
- Demonstrates clear communication about Bushnell and CMHC field experience and counseling center policies and procedures while recognizing those who may choose to utilize clinic serves may struggle with healthy communication skills. Thurs, good communication and patience are of the utmost importance.
- Must have a strong counselor identity; an understanding of evidenced based counseling skills or experience in medical or community mental health field; experience with assessment, treatment planning and progress note writing, understanding of student developmental concerns; demonstrate insight about other community resources related to mental health; and provide evidence of office management experience.
- The CACREP standards related to this required position and its duties are as follows:

- have written job description(s),
- be responsible for the coordination of practicum and internship experiences,
- be responsible for responding to inquiries regarding practicums and internship, and
- have a master’s degree in counseling or related profession if hired after July 1, 2024.

- Effective organizational skills.
- Excellent communication skills with demonstrated ability to communicate effectively using tact, patience, and courtesy with individuals from diverse backgrounds and cultures.

- Higher educational background and/or professional experience in an institution of Christian higher education is highly desirable.
