Clearance Coordinator

**SUMMARY**

The Script Clearance Department, part of the Intellectual Property group within the SPE Legal Department, plays a critical role in that process-identifying and resolving legal clearance issues for film and television productions in accordance with the company's Errors & Omissions (E&O) insurance requirements.

The Clearance Coordinator is a key partner to the Animation Clearance Specialist, supporting script clearance across all stages of production-from pre-production through final delivery. This role blends project coordination, document management, and production-facing collaboration, and is ideal for someone who thrives in a fast-paced creative environment and enjoys bringing structure and precision to complex workflows.

**RESPONSIBILITIES**

+ Maintain organized project documentation for assigned productions, including scripts, revisions, schedules, and related materials

+ Maintain and manage clearance tracking in ShotGrid, including logging requests, uploading reference materials, updating item statuses, and generating reports for productions and internal stakeholders

+ Review incoming clearance requests via ShotGrid and email, helping determine next steps and priorities in partnership with the Specialist

+ Assist in preparing script clearance reports, memos, and supporting documentation, including updates tied to script revisions

+ Draft permission request letters and legal release documents for review and execution

+ Track, monitor, and follow up on clearance requests to ensure timely resolution across multiple active productions

+ Submit clearance requests to the Research Department and gather supporting materials as needed

+ Review executed releases and permission agreements, flag revisions, and maintain accurate legal and project records

+ Partner with internal teams, including Accounting, to support billing, invoices, and payment processing (e.g., licensing and research fees)

+ Support the distribution of advertising and promotional restriction memos

+ Review animatics and related materials (e.g., behind-the-scenes content, publicity, merchandising) on an as-needed basis

+ Perform general administrative duties, including scheduling meetings, coordinating calendars, handling correspondence, routing materials, and maintaining department files

+ Participate in team meetings and ongoing learning opportunities to stay current on script clearance and entertainment law developments

**QUALIFICATIONS**

+ High school diploma or equivalent required; bachelor's degree preferred

+ 1-2 years of experience in an administrative, production, legal, or business affairs environment preferred

+ Highly organized with the ability to manage multiple priorities in a fast-paced production environment

+ Strong written and verbal communication skills, with the ability to draft and review professional documents with clarity and precision

+ Detail-oriented with a commitment to accuracy and follow-through in a high-volume workflow

+ Strong judgment and discretion in handling confidential and sensitive information

+ Proficiency in Microsoft Office (Word, Excel, PowerPoint); experience with tracking systems (e.g., ShotGrid) a plus

+ Interest in animation, storytelling, and the filmmaking process

The anticipated base salary for this position is $25.00/hour - $31.00/hour. This role may also qualify for incentives and/or comprehensive benefits. Actual compensation will depend on factors such as experience, education, skills, and location.
