International Study Abroad Program Administrator Jobs

This position is a multi-functional position within International Academic Programs (IAP), a unit in the International Division, that serves as the central study abroad office at UW-Madison and coordinates study abroad programming across campus. IAP administers more than 300 campus-wide study abroad and domestic study away programs and internships, and annually sends over 3,000 UW-Madison students abroad. Exploration Advisors are a first point of contact for domestic students on study abroad opportunities. In this role, Exploration Advisors:

• Advise domestic students on opportunities, academic policy, and requirements for international study for academic credit.
• Advise students in support of the goal of preparing them for the global and interconnected world.
• Assist in providing guidance for international students on navigating institutional and academic policy and requirements.

This position reports to the Assistant Director for Study Abroad Advising.

This position will operate in a hybrid format where some work will be performed in-person, onsite, in Madison, WI, and some work will be performed remotely, at an offsite, non-campus location. Positions will have shared workspaces.

Key Job Responsibilities:

• 60% Advises domestic students about international study opportunities
• 5% Counsels international students and support systems on cultural adjustments, policies, and procedures
• 5% Identifies and refers students to appropriate institutional resources and follows-up on referrals
• 5% Provides guidance and reviews documentation for registration and academic credit transfer requirements according to policies and procedures for international travel and study
• 20% Identifies, plans, and delivers international education programming
• 5% Participate in office committees and working groups to help with program and office administration

Tasks:

• Counsel and advise prospective students through Exploration Advising sessions about the various aspects of study abroad program opportunities.
• Counsel and advise students and parents on student preparation and personal needs throughout the study abroad experience.
• Maintain and update Intro to Study Abroad Advising Canvas site
• Present study abroad information to prospective students
• Assist with orientations for programs, including monitoring attendance and conducting regional orientations
• Develop and coordinate advising workshops
• Assist with visa collection for group visas
• Act as a back-up for the front desk and for our passport photo service
• Act as a notary for study abroad students' materials
• Support curriculum integration initiatives
• Provide administrative support to the IAP Assistant Directors
• Participate in department meetings and retreats. Assist with special events and outreach activities, such as the Study Abroad Fair.
• Other duties and special projects as assigned by the supervisor or IAP Director.

International Division, International Academic Programs (IAP)

• Prior experience, as a student worker or professional staff member, working in a study abroad office or student services office

• Ability to work in a team oriented, collaborative environment.
• Demonstrated experience working independently with strong attention to details, resourcefulness, and organizational skills to meet important deadlines in a high-traffic, high-demand environment.
• Demonstrated commitment to and experience working with expanding academic and financial access to study abroad programs
• Excellent interpersonal communication (oral and written) skills, and a sense of humor
• Demonstrated critical thinking and decision-making skills

• Bachelor's Degree required
