They coordinate between departments, manage resources, set timelines, and ensure that projects are completed on schedule and within budget. Their role often involves communicating with stakeholders, identifying potential risks, and ensuring that project goals align with the company's objectives. Internal Project Managers play a key role in driving organizational efficiency and achieving strategic initiatives.

How does an internal project manager typically coordinate with other departments within an organization?

Internal Project Managers frequently collaborate with various departments such as IT, HR, finance, and operations to ensure project objectives align with broader organizational goals. They act as a central point of communication, facilitating meetings, gathering input, and managing expectations across teams. This role often requires balancing competing priorities and resolving conflicts, making strong interpersonal and negotiation skills essential. Regular status updates and cross-departmental check-ins are common practices to keep all stakeholders informed and engaged throughout the project lifecycle.

Join our Service Group as an Assistant Project Manager and play a key role in delivering exceptional service to our customers. In this role, you’ll work closely with the Project Manager to support the successful planning, coordination, and execution of projects from turnover through closeout.

This is a great opportunity to gain hands-on experience across the full project lifecycle while working with owners, engineers, subcontractors, vendors, field teams, and internal departments. Our Owner Direct projects are primarily HVAC-focused, with opportunities to support plumbing and fire protection scopes as needed.

What You’ll Do

  • Support the Project Manager with the day-to-day management and administration of assigned projects from turnover through closeout.
  • Attend project turnover meetings, prepare and distribute meeting minutes, and track follow-up items.
  • Prepare RFPs and RFQs and gather, organize, and review subcontractor and vendor proposals to support project buyout.
  • Assist with issuing purchase orders, subcontracts, and other project agreements.
  • Track project schedules, procurement, lead times, RFIs, submittals, change orders, commitments, and other project deliverables.
  • Maintain accurate and up-to-date project documentation and assist with compiling required closeout packages.
  • Assist with project financial administration, including budget tracking, invoice review, change order tracking, and monthly cost-to-complete preparation.
  • Support the Project Manager with owner proposals, scope clarifications, change requests, billing documentation, and other project correspondence.
  • Assist with coordination between owners, engineers, subcontractors, vendors, field personnel, and internal project teams.
  • Support technical project requirements, including testing, inspections, approvals, and coordination of project documentation.
  • Provide project information and documentation to field leadership and assist with field coordination as needed.
  • Assist with owner training, warranty documentation, final deliverables, and other closeout requirements.

What You Bring

  • 1–3 years of related construction, engineering, or project management experience.
  • Bachelor’s degree in a related field or equivalent experience.
  • Strong written and verbal communication skills.
  • Strong organizational and time-management skills with the ability to manage multiple priorities.
  • Demonstrated problem-solving skills and attention to detail.
  • Ability to communicate professionally with owners, engineers, subcontractors, vendors, and internal teams.
  • Familiarity with Massachusetts building codes and standards, including ASHRAE, NFPA, and ASME.
  • Proficiency with Microsoft Office, Microsoft Project, and Bluebeam.
  • OSHA 10 or 30 certification preferred.
  • Experience with commercial HVAC, plumbing, mechanical, or fire protection construction preferred.
