Job description

Division/Department: Special Events

Job Title: Special Events Intern

Reports To: Special Events & Entertainment Manager

Type of position: Non-Exempt / Hourly

Employee Classification: Seasonal (Now to the conclusion of Polar Express)

Location: Bryson City, NC

Compensation: $14-16/hour

Job Summary: The Special Event Intern will be working closely with the Special Events & Entertainment Manager to gain valuable “on the job” experience! This is a dynamic learn on the job setting. We will provide ample opportunities to sharpen your skill set by hands on training from the department manager & team. If you’re looking for a well-rounded opportunity that will expose you to event and entertainment planning this is a perfect fit! We are looking for a committed new member of our team to help execute the vision of the department while learning what it takes to make the magic of a large event happen in real time. We offer a stable part-time weekly schedule for the remaining event season but do require maximum flexibility during the operation of an event, including The Polar Express. This is a paid part-time seasonal role with ongoing opportunities. Work availability of 2 to 3 days a week is a requirement with the understanding more hours will be required during events, including evenings, weekends, and holidays. We are a tourism focused company and being able to work in Holiday Seasons is an essential function of the role.

Essential Duties and Responsibilities:

  • Large event preparation and implementation.
  • Leadership ability and a calm “make it happen” mindset with a continued willingness to learn.
  • Keeping accurate financial & transactional records when applicable.
  • Maintain department and supply inventory.
  • Departmental ordering with minor shipping and receiving.
  • Assist HR with event recruitment.
  • Direct customer service and hospitality.
  • Organization and coordination of event-specific materials.
  • Work with other departments as part of a team to provide passengers/guests with positive memories.
  • Other duties as requested.

Work Environment:

  • Work primarily in an office setting with some time allotted for warehouse days, outside event sites, and/or light travel.
  • Work on and off the train in varied terrain in all weather during both daylight and dark hours during event operations.
  • Varied schedule throughout the year dictated by school schedule or train schedule.

Education, Skill, and Work Experience Requirements:

  • Enrolled or recently graduated from Western Carolina University, other universities or college is preferred but not required.
  • Basic knowledge of Microsoft OS.
  •  Strong understanding of excel, word and creative digital work such as Canva.
  • Strong interpersonal skills including proper in person, phone, and digital etiquette (such as emails, text messages etc.)
  • The ability to understand when to properly delegate a task, escalate it to management or take personal action.
  • Ability to lift 50 lbs.
  • Must be able to ride and walk/move comfortably throughout a moving train.
  • Must possess organizational skills with the ability to multi-task while prioritizing workload with a practical, flexible, and innovative approach to work and school.
  • Ability to communicate effectively in both written and spoken English.
  • Ability to communicate successfully with a variety of personalities and function effectively as a member of a team.
  • Fairly open schedule during weekends and holidays (only during operating events)
  • Must be able to pass a background check.
  • Valid Driver License required.
