Position Overview:

We are seeking an Interior Design Coordinator to support the design and project teams across multiple hospitality projects. This role is focused on coordination, documentation, and execution, with significant involvement in vendor coordination, pricing alignment, and project tracking. The ideal candidate is detail-oriented, proactive, and comfortable working in a fast-paced, multi-project environment.

KEY RESPONSIBILITIES Design Coordination & Documentation
  • Assist in developing design packages for guestrooms and public areas.
  • Prepare and organize design presentations, finish palettes, and material boards.
  • Support FF&E specification writing, finish schedules, and material indexes.
  • Maintain organized project documentation and ensure version control across teams.
Project Coordination
  • Coordinate with internal design teams, procurement, and extensively with overseas suppliers and manufacturing partners.
  • Track design deliverables and support adherence to project timelines.
  • Assist in reviewing shop drawings and coordinating revisions with designers and vendors.
  • Follow up with internal and external teams to ensure timely responses and progress.
Vendor & Material Coordination
  • Coordinate extensively with overseas suppliers and manufacturing partners.
  • Manage communication regarding materials, specifications, timelines, and deliverables.
  • Track vendor responses, follow up on outstanding items, and ensure alignment with project schedules.
  • Coordinate sample requests, approvals, and material submissions.
Estimation & Pricing Support
  • Assist in reviewing supplier quotes and pricing for FF&E items.
  • Align specifications with vendor pricing.
  • Coordinate with internal teams to ensure pricing reflects project scope and design intent.
  • Track revisions and updates to estimates throughout the project lifecycle.
Execution Support
  • Assist in ensuring alignment between design intent, specifications, and production.
  • Support project handovers from design to procurement teams.
  • Participate in internal coordination meetings and track action items.
Site & Field Coordination
  • Travel to project sites as required to support field verification and coordination.
  • Assist with site inspections and documentation.
  • Support the resolution of onโ€‘site issues in coordination with the design and project teams.
Qualifications
  • 3 to 6 years of experience in hospitality interior design or FF&E coordination.
  • Familiarity with hotel brand standards and prototype-based design environments.
  • Basic experience with FF&E specifications and shop drawing coordination.
  • Strong organizational and time management skills.
  • Ability to manage multiple tasks and priorities simultaneously.
