Our company is currently seeking ​a Procurement Specialist / Office Administrator to join the team! You will be responsible for daily duties such as answering phones, vendor communication, estimates and proposals, bill paying, as well as the general duties associated with working in an office.

Responsibilities:

  • Obtain vendor estimates and prepare client proposals in Studio Designer (software program)
  • Process orders and handle payments with vendors and maintain tracking schedule for orders
  • Handle damage claims and returns for design product as needed
  • Process sample requests and returns with multiple vendors
  • Interact with high net-worth clients regarding proposals, schedules and payments as needed in a professional manner, via phone and email
  • Coordinate and schedule moving and installations with receivers
  • General office duties: answer phones, order supplies, verify weekly and monthly bill paying with all vendors
  • Coordinate record of all financial transactions with outside book-keeper on weekly basis

Qualifications:

  • Knowledge of interior design software, specifically Studio Designer
  • Ability to interact and communicate professionally with high-end clientele
  • Assist principal designer and project managers with general meeting preparations, vendor estimates, order tracking and general needs
  • Strong organizational skills
  • Type 50 wpm
  • Proficient in Word, Excel, Powerpoint, and Dropbox; advanced knowledge of social media, public relations and digital marketing advantageous
  • Experience working for a luxury interior design or architectural firm, or related industry (2-3 year minimum)
  • Ability to work both autonomously and as part of a small team
  • Deadline driven and detail-oriented

Company Description

We are small office and are looking for a new team member who will enjoy handling logistics for our interior design firm. General knowledge of A/P and A/R is beneficial but not required. Some training within our software system may be necessary, so attention to detail and a respect for standard operating procedures is a necessity. We work hard but encourage a 'team' approach to ensure that all employees feel appreciated and respected.
