Job description

Position Summary: 

The Program Associate position provides a variety of routine clerical functions within a behavioral health outpatient office setting. Works in a fast-paced environment that requires multitasking, excellent customer service, and interpersonal skills to greet clients and visitors promptly and courteously. 

Work Schedule Requirements:

Work hours will vary to include some evenings and Saturday hours; Hours of operations will vary by location. This position will be responsible for providing coverage at other Outpatient clinics as needed.

Job Responsibilities and Performance Standards:

  • Performs duties in a fast-paced environment that requires multitasking, excellent customer service, interpersonal skills to greet clients and visitors promptly and courteously. 
  • Provides on site or remote coverage for other sites not designated as primary site as directed by supervisor. 
  • Assist clients with scheduling appointments. 
  • Check out clients who are in the office or have telehealth visits scheduled. 
  • Manages front-desk dashboard. 
  • Verify insurance and collect copays before visits, including scheduled telehealth appointments.
  • Performs data entry, scanning, and downloading information into MyAvatar EHR.
  • Responds timely to client questions and concerns.
  • Attends agency meetings and completes required training.
  • Monitors and responds to all emails and faxes.
  • Completes intake point of entry/admissions.
  • Handles medications at Outpatient Clinics delivered by courier from pharmacy; Pavilion has a pharmacy onsite for clients to pick up medications. 
  • Scan all completed assessments to clinicians.
  • Completes Pre-service audits as directed by supervisor.
  • Completes documentation of client contact in Front Desk General Telephone note.
  • Completes all deposit paperwork and submits it to direct supervisor to provide second signature.
  • Complies with policy and procedures related to leave and time keeping.
  • Performs other duties as assigned.

Minimum Qualifications

High school diploma or GED AND 1 year of general office or administrative experience. 

Preferred Qualifications:

  • Medical assist experience/background preferred
  • Minimum 1 year experience working in a medical/behavioral health setting.
  • Outgoing, engaging, and personable communication skills.
  • Experience working in a medical or behavioral health office.
  • Excellent computer skills including familiarity with Microsoft Word and Excel.
  • Highly organized and detail oriented.
