Job description

Legal Operations Specialist

The Paralegal provides essential operational and legal support to the Legal Department by managing corporate governance matters, supporting litigation and dispute management, administering the contract repository, and assisting with legal operations and compliance initiatives. The role is designed to increase the department's capacity and efficiency by removing administrative, coordination, and documentation responsibilities from attorneys, allowing them to focus on high judgment legal work. The Paralegal works closely with internal stakeholders and external counsel to ensure legal matters are well organized, tracked, and executed in accordance with company standards and risk tolerance.

What you will do as a Legal Operations Specialist

  • Support corporate governance activities, including maintaining entity records, minute books, resolutions, director and officer information, and related filings across Canada and the United States.
  • Assist with litigation and dispute management by coordinating documentation, tracking key dates and milestones, liaising with outside counsel, and maintaining matter summaries.
  • Administer the contract repository, ensuring executed agreements, amendments, and related documentation are accurately stored, organized, and searchable.
  • Support legal operations activities, including reporting, metrics tracking, and maintaining matter and contract logs.
  • Assist attorneys with legal research, drafting support materials, and preparing summaries or briefing documents.
  • Coordinate responses to internal requests related to governance or other legal matters.
  • Support continuous improvement of legal department processes, templates, and playbooks.
  • Maintain confidentiality and handle sensitive information with discretion and professionalism.

Do you have the Spark? Here's what we're looking for:

  • Clear, professional written and verbal communication skills, with the ability to interact effectively with internal stakeholders and external counsel.
  • Strong ability to manage documents, records, deadlines, and multiple streams of information accurately.
  • High level of accuracy in reviewing, organizing, and maintaining legal documents and records.
  • Ability to manage competing priorities and deadlines in a fast paced environment.
  • Demonstrated ability to handle confidential and sensitive information appropriately.
  • Paralegal (AB, US) or Law Clerk (ON) diploma or accreditation, or equivalent experience in a legal support role.
  • Experience supporting one of the following teams is required: corporate governance, litigation, and/or commercial legal.
  • Experience in an in-house role is preferred.
  • Familiarity with contract management systems, document management tools, and standard legal documentation.
  • Self starter with a proactive mindset and the ability to work independently while supporting a team.
