Job description

POSITION: Legal Administrative Assistant (2 Positions Available)

Company: National Law Firm

Location: Mineola, NY (On-site)

Compensation: Base salary up to $92,000, paid overtime, bonus eligibility, comprehensive benefits, and 401(k).


Position Overview

A prestigious law firm has two Legal Administrative Assistant opportunities available, including one supporting a Trust & Estates practice. The firm is seeking experienced professionals to provide comprehensive support to its attorneys and legal team. These positions are ideal for individuals who excel in a deadline-driven environment, enjoy managing complex calendars, coordinating client communications, and supporting active legal matters. The successful candidates will play a key role in keeping attorneys organized, maintaining strong client relationships, preparing legal documents, and ensuring matters move efficiently from start to finish.


Key Responsibilities

  • Provide comprehensive administrative support to attorneys while managing multiple active legal matters.
  • Draft, revise, and finalize correspondence, legal documents, pleadings, discovery materials, estate planning documents, and other documentation as applicable.
  • Manage complex attorney calendars by coordinating client meetings, conference calls, court appearances, depositions, mediations, and internal meetings.
  • Monitor deadlines, maintain attorney schedules, and track assignments to ensure matters progress efficiently.
  • Serve as a primary point of contact for clients, maintaining professional relationships and providing timely communication and follow-up.
  • Open, organize, and maintain electronic and physical client files while ensuring records remain accurate and up to date.
  • Coordinate travel arrangements, expense reports, time entry, and other administrative projects while communicating with clients, court personnel, vendors, and legal staff.
  • Handle a high volume of communications across email, phone, and other platforms while managing changing priorities in a fast-paced environment.


Qualifications

  • At least 5 years of experience as a Legal Administrative Assistant, Legal Secretary, Executive Legal Assistant, or in a comparable law firm support role.
  • Experience supporting attorneys in a law firm environment; Trust & Estates experience is required for one of the available positions.
  • Strong proficiency in Microsoft Office, including Word, Outlook, Excel, and PowerPoint.
  • Excellent organizational, time management, and multitasking skills with the ability to manage competing priorities.
  • Experience managing complex attorney calendars, scheduling meetings, and coordinating multiple deadlines.
  • Strong written and verbal communication skills with a professional, client-service-oriented approach.
  • Exceptional attention to detail, discretion, and the ability to handle confidential information with sound judgment.
  • Ability to work independently while collaborating effectively with attorneys, clients, paralegals, and other members of the legal support team.
