Job description

Job Summary
Isla Bella Beach Resort is seeking an organized, service-oriented Employee Housing Coordinator to oversee the daily operations of our employee housing community.
This hourly position serves as the primary point of contact for employee housing, ensuring team members have a safe, clean, and welcoming place to live while supporting the People & Culture team with onboarding and employee services. The ideal candidate enjoys working with people, solving problems, and balancing administrative responsibilities with hands-on operational support.

Employee Housing Coordinator Responsibilities
Housing Operations
  • Coordinate the day-to-day operations of employee housing across multiple properties
  • Assign housing accommodations and maintain accurate occupancy records and housing rosters
  • Conduct move-in and move-out inspections
  • Prepare units for new residents by:
    • Making beds with clean linens
    • Washing linens as needed
    • Performing light cleaning to ensure units are move-in ready
  • Conduct periodic inspections to ensure housing units remain clean, safe, and well maintained
  • Coordinate maintenance requests with Engineering and outside vendors
  • Escort vendors, including pest control and maintenance contractors, into occupied units when residents are unavailable
  • Perform minor maintenance tasks such as changing light bulbs, replacing batteries, and other simple repairs when needed
  • Partner with Housekeeping and Engineering to prepare units for incoming residents

Resident Services
  • Serve as the primary point of contact for employee housing questions and concerns
  • Assist residents with move-ins, move-outs, and housing-related needs
  • Respond to roommate concerns and housing issues professionally while helping de-escalate conflicts
  • Promote a positive living environment by ensuring housing policies and community standards are consistently followed
  • Maintain inventory of furniture, appliances, keys, and other housing assets
  • Track damages and coordinate repairs as needed

Housing Administration
  • Process lease agreements and maintain resident files
  • Process housing payroll deductions including:
    • Rent
    • Security deposits
    • Prorated rent
    • Outstanding balances and arrears
  • Monitor occupancy levels and identify opportunities to maximize housing utilization
  • Consolidate housing assignments to improve occupancy efficiency
  • Forecast future housing availability by partnering with recruiting and People & Culture regarding upcoming hires and move-outs
  • Maintain accurate housing reports and documentation

People & Culture Support
  • Support the People & Culture team with new hire onboarding and orientation
  • Complete employment paperwork and I-9 verification
  • Assist with recruiting coordination and interview scheduling
  • Maintain employee records and HR documentation
  • Support employee engagement events and recognition activities
  • Respond to routine employee questions and direct more complex HR matters to the appropriate People & Culture team member

Qualifications
  • Associate's degree or Bachelor's degree preferred in Hospitality, Business Administration, Property Management, Human Resources, or a related field
  • Minimum of one year of experience in property management, apartment communities, residential leasing, employee housing, hospitality operations, or a related field preferred
  • Experience coordinating move-ins, move-outs, inspections, occupancy, or resident services strongly preferred
  • Previous Human Resources or onboarding experience is a plus, but not required
  • Excellent customer service and conflict resolution skills
  • Strong organizational, administrative, and time management skills
  • Ability to manage multiple priorities in a fast-paced environment
  • Proficiency with Microsoft Office applications
  • Ability to quickly learn HRIS, payroll, and property management systems
  • Bilingual in English and Spanish preferred
  • Valid driver's license required

Physical Requirements
  • Ability to work in both an office setting and throughout employee housing locations
  • Frequent walking between housing units and resort departments
  • Ability to lift up to 25 pounds occasionally
  • Ability to perform light cleaning and basic unit preparation duties
  • Ability to drive a golf cart and company vehicle as needed
