Position Summary

The Medical Data Entry Specialist (MDES) supports the daily operations of Remedy Behavioral Health by ensuring that all patient, provider, and billing data are entered, updated, and maintained accurately within our electronic systems. This role is essential for maintaining clean medical records, accurate reporting, and timely claims processing. The MDES works closely with providers, billing staff, and administrative leadership to ensure documentation integrity, HIPAA compliance, and efficient information flow across the organization.


Key Responsibilities

  • Enter and verify patient demographics, insurance information, and provider documentation into the EMR (Practice Fusion) accurately and timely.
  • Review face sheets, consents, and other intake documentation for completeness and compliance before uploading or data entry.
  • Track and monitor missing documentation, incomplete notes, or unsigned encounters and communicate with providers to resolve promptly.
  • Support billing processes by ensuring all necessary documentation and codes are in place prior to claim submission.
  • Maintain accurate and organized electronic filing systems for all patient and provider records.
  • Communicate professionally with internal teams regarding updates, corrections, or follow-ups needed in patient charts.
  • Assist in compiling reports, updating spreadsheets, and maintaining accurate tracking logs for QA and administrative audits.
  • Adhere to all HIPAA and confidentiality standards to safeguard protected health information (PHI).
  • Participate in periodic quality assurance checks and contribute to continuous improvement of data processes.
  • Perform additional administrative or clerical tasks as assigned to support clinic and billing operations.


Compliance & Ethics

  • Complies with all federal, state, and company policies regarding data privacy, accuracy, and security.
  • Participates in required orientation, HIPAA, and compliance trainings.
  • Promptly reports any concerns or suspected breaches of confidentiality or compliance.
  • Cooperates with audits, investigations, and QA initiatives as requested.
Requirements:

Education & Experience

  • High school diploma or equivalent required; post-secondary coursework in healthcare administration, billing, or medical office preferred.
  • Prior experience in data entry, healthcare administration, or billing strongly preferred (1+ year).
  • Familiarity with EMR/EHR systems (Practice Fusion experience a plus).
  • Understanding of basic medical terminology and documentation standards.
