Job description

Install Coordinator

The role of the Install Coordinator is to manage the day to day scheduling operations, ensure that jobs are ready for installation. Responsible for the creation of department job files, contacting clients regarding scheduling issues, scheduling subcontractors and inspections. Responsible for coordinating communication between installers, field supervisors, clients, vendors and the office. Represent the company with customers by handling questions or complaints. The ideal candidate will have exceptional phone presence and have a flair for top-notch client service.

Location: Meridian, ID

Pay: $22-30/hr

Responsibilities:

  • Professionally answering the phone in a polite, friendly manner.
  • Advocates for the customer and ensures a quality install experience.
  • Responsible for returning all customer requests within the same business day.
  • Back up for the sales lead coordinator to assist in scheduling sales calls for the sales team.
  • Point of contact for dispatch, warehouse, and install team to ensure each project is coordinated smoothly.
  • Responsible for confirming installations with customers the day before installation and documenting in CRM software.
  • Manage pending installations weekly by contacting customers and adding notes to CRM software.
  • Establish customer rapport to ensure the highest levels of satisfaction.
  • Set up jobs in CRM software and maintain/update customer database with complete and accurate information.
  • Submit all installed equipment registration and any rebates electronically on customer's behalf.
  • Responsible for sending out daily scheduling emails for all install technicians.
  • Add all notes and special handling requests to CRM software to ensure accurate information is being relayed to the install team.
  • Communicates to all required departments when a job is scheduled and is the "hub" for installation.
  • Process all install paperwork timely and conduct job costing daily for commissions.
  • Coordinate all inspections with the permit coordinator to make sure all jobs are inspected and completed.
  • Additional duties as needed.

Skills/Qualifications:

  • ServiceTitan experience preferred
  • Scheduling experience
  • Customer service background
  • Multi-technician scheduling
  • Construction or home services experience
  • High school diploma or general education degree (GED).
  • Ability to multitask in a changing, fast-paced and dynamic environment coupled with the ability to be a self-starter and work on many projects at once.
  • Excellent verbal and written language skills to answer customer and realtor concerns in simple, understandable language
  • Ability to read and interpret documents such as Home Warranty Contracts and Agreements, policies and procedures, etc.
  • Ability to establish a professional and productive rapport with internal personnel and external customers.
  • Ability to read, interpret, and explain Company procedures and policies.
