Job Title: Supplier Quality AssociateJob Description

The Supplier Quality Associate supports the integrity of the Approved Supplier List by aligning data between the Quality Management System (QMS) and Enterprise Resource Planning (ERP) system, managing supplier risk assessments, and coordinating supplier requalification activities. This role drives supplier outreach and feedback collection, maintains detailed data tracking and reporting, and partners closely with cross-functional teams to ensure supplier performance, risk mitigation, and compliance within a regulated bioprocessing environment.

Responsibilities
  • Align data from the Quality Management System (QMS) and Enterprise Resource Planning (ERP) system to ensure accuracy and maintain a single source of truth for the Approved Supplier List (ASL).
  • Manage the Supplier Risk Assessment program to categorize the supplier base according to appropriate criticality and risk ratings.
  • Coordinate with internal departments such as engineering, quality, and procurement to perform supplier risk assessments and determine supplier classifications.
  • Support the requalification of existing suppliers by collecting required forms, certifications, and questionnaires in a timely and organized manner.
  • Manage the end-to-end distribution of supplier performance questionnaires and surveys to external vendors.
  • Proactively contact suppliers via phone, email, and virtual meetings to solicit feedback, clarify responses, and ensure timely completion of questionnaires.
  • Overcome supplier inertia and non-response through persistent, professional follow-up to ensure deadlines and project milestones are met.
  • Serve as the primary point of contact for supplier inquiries regarding questionnaire instructions, expectations, and process requirements.
  • Maintain a master tracking log of all supplier touchpoints, response rates, and pending actions to ensure clear visibility of status across the supplier base.
  • Utilize advanced Microsoft Excel skills to clean, filter, and organize large datasets exported from survey tools and other systems.
  • Perform VLOOKUPs and XLOOKUPs to match supplier data across multiple spreadsheets and ensure data consistency.
  • Build pivot tables to analyze response trends, monitor supplier performance, and identify suppliers requiring additional escalation or follow-up.
  • Create visual dashboards and summary reports for management to track completion progress, supplier performance, and risk mitigation activities.
  • Contribute to supplier quality initiatives involving supplier performance, supplier corrective action requests (SCAR), risk mitigation, vendor approval, and vendor qualification.
  • Collaborate with procurement and quality teams to support supplier quality, vendor qualification, and adherence to Good Manufacturing Practice (GMP) expectations in medical device, pharmaceutical, and biotechnology contexts.
  • Take ownership of assigned projects, drive results, and support continuous improvement of supplier quality and risk management processes.
  • Perform other related activities as needed to support supplier quality, procurement, and external vendor management.
Essential Skills
  • High school diploma required.
  • Minimum of 3–5 years of experience in administrative and data entry roles.
  • Proven experience in roles requiring persistent follow-up such as collections, account management, or vendor relations (highly preferred).
  • Strong communication skills with the ability to clearly and persistently request information from suppliers and external partners.
  • Professional phone etiquette and strong written communication skills.
  • Ability to be assertive yet collaborative when interacting with external business partners.
  • Demonstrated ability to organize and manage follow-ups with 50+ suppliers simultaneously without losing track of statuses.
  • Strong sense of urgency with the ability to identify challenges and take initiative to develop and implement solutions.
  • Effective verbal and written communication skills with strong interpersonal abilities when working interdepartmentally and with external vendors and contractors.
  • Ability to lead and work effectively and efficiently in a team environment.

Pay and Benefits

The pay range for this position is $30.00 - $37.00/hr.
