Job description

At ABB, we help industries run leaner and cleaner-and every person here makes that happen. You'll be empowered to lead, supported to grow, and proud of the impact we create together. Join us and help run what runs the world.

This position reports to:

Service Sales Manager

__

At ABB, we help industries outrun - leaner and cleaner. Here, progress is an expectation - for you, your team, and the world. As a global market leader, we'll give you what you need to make it happen. It won't always be easy, growing takes grit. But at ABB, you'll never run alone. Run what runs the world.

Vendor Enablement is a critical operational function responsible for ensuring ABB Inc. is accurately represented, established, compliant and fully functional as a supplier within customer-managed platforms and procurement systems. As a key contact for Front End Sales and Clients, the function supports onboarding through vendor registration forms, complex surveys, and portal administration; engaging internally and externally to establish and maintain the digital trade relationship.

Vendor Enablement Specialists serve as a central point of coordination and support across Sales, Accounting, Compliance, HSE, Risk Management, and Contract teams, ensuring alignment between internal operations and external (client) system requirements. As a member of this team you will operate within Case Management, navigate multiple platforms, manage shared inboxes, and support special administrative projects: requiring strong prioritization, cross-functional awareness, and timely resolution of requests. Through this work the role directly supports revenue continuity by enabling timely registration, transaction processing, accurate purchase order routing, maintaining system visibility and user management.
Your Responsibilities

  • Case Management & Workflow Ownership:Owns end-to-end case management, coordinating and actioning requests initiated by Front End Sales, Portal Administration, and other internal departments through Salesforce and shared inbox channels.
  • Vendor Onboarding & Portal Registration:Manages supplier onboarding requests by completing vendor registration forms, complex client surveys, and portal setup across a diverse range of client-managed procurement platforms (e.g., SAP Ariba, Coupa, Jaggaer, Oracle, GEP, risk assessment and management platforms, and others). Serves as the Super User/Portal Administrator.
  • Corporate Structure & Information GovernanceApplies comprehensive knowledge of ABB's corporate hierarchy and parent-subsidiary relationships to accurately distinguish client inquiries between ABB Inc., ABB Ltd., and subsidiary entities. Determines what corporate structure and ownership information is appropriate to share while maintaining confidentiality of sensitive organizational mapping, ensuring all client-facing communications reflect ABB's actual legal entity relationships with precision and compliance intent.
  • Inbox & Communication Management:Monitors and actions multiple shared inboxes including portal administration notifications, purchase order routing (x2), and case management, in addition to individual inbox management.
  • ELSE-Advisory Operator: Receive and resolve Client inquiries through TalkDesk via ELSE-Advisory Support Line - handling approximately 4-6 occasional calls per day.
  • Supplier Profile Accuracy & Compliance:Maintains an active, accurate, and compliant supplier presence across all client procurement systems. Ensures ABB Inc. is consistently and correctly represented in alignment with ABB's Code of Conduct, and that no unauthorized or duplicate platform registrations (e.g., duplicate ANIDs in SAP Ariba) create compliance risk, subscription cost exposure, or revenue disruption.
  • Access & User Management:Manages user access across all administered platforms, including granting access to Front End Sales Representatives, Accounting, Contracts, Cyber and Data Specialist. Ensures continuity of platform access during organizational transitions or role changes, preventing loss of client connections that may impact revenue.
  • Issue Identification & Resolution:Identifies and resolves platform access errors, registration conflicts, duplicate accounts, and routing issues that may impact transaction processing or delay operational workflows. Partners with Accounting and Finance colleagues to troubleshoot purchase order and invoicing discrepancies.
  • Client Survey & Questionnaire Coordination:Interprets and completes complex client-required questionnaires and vendor surveys, drawing from an internal knowledge base and coordinating with subject matter experts (HSE, Legal, Risk Management, Cyber/Data/Security, Integrity, and Sustainability) for review and authorization signatures when required. Sends completed drafts to subject matter experts for affirmation rather than burdening them with raw completion, maintaining efficiency while ensuring accuracy and accountability.
  • Insurance Certificate & Compliance Documentation:Coordinates with Risk Management to obtain and upload required insurance certificates and compliance documentation to client portals. Manages platform-specific requirements (e.g., Avetta, ISN) and ensures appropriate documentation is provided based on client agreement status.
  • Cross-Divisional Collaboration & Escalation:Partners with colleagues across ELSE-Advisory Services, and other ABB divisions to address shared client platform conflicts, resolve ANID discrepancies, and establish best practices. Escalates appropriately to Legal, Contracts, or Management when authorization signature or subject matter expertise is required. Collaborates to improve cross-divisional supplier registration process.
  • Policy & Acknowledgement Authorization:Executesclient policy acknowledgements and compliance confirmations on behalf of ABB Inc. when signature authorization is not required, while appropriately routing documents requiring legal review or executive authorization to the correct departments. This distinction reduces process delays while maintaining integrity and compliance.
  • Client-Facing Communication & Sales Support:Provides clear, professional client-facing communication including status updates and platform alignment discussions. Supports Front End Sales on client calls to ensure clarity around onboarding, supplier profile updates, and platform-related matters: always representing ABB Inc. with consistency and professionalism.
  • Documentation, Audit Readiness & Process Standardization:Ensures all vendor registration documentation is accurately recorded, organized, and maintained to support historical tracking and audit readiness. Contributes to ISO-aligned process documentation designed for scalability, succession planning, and potential expansion to additional ABB divisions.
  • ViewPoint Access Support:Assists in user access, site and region creation as needed.
  • Performance Monitoring & Continuous Improvement:Tracks request volume, trends, and resolution patterns. Identifies process improvement opportunities, monitors risks, and communicates findings to management. Supports the ongoing business case for formalizing and expanding the Vendor Enablement function within ABB.

Your Background:

  • High School Diploma/GED required + Bachelor's degree OR equivalent years of experience.
  • 2+ years of experience in a similar Sales role.
  • Good understanding of sales operations in electrification services.
  • Good understanding of the customer's problems needs and challenges as well as industry-specific knowledge preferred.
  • Effective communication & interpersonal skills with great negotiation and influencing skills.
